Hire Desk Coordinator

Reports To: Hire Desk Supervisor
Location: Woodside Road, Eastleigh, Hampshire, SO50 4ET

The Role

We are looking for an organised, proactive, and customer-focused Hire Desk Coordinator to join our growing team.

This is a pivotal role within the business, serving as the main point of contact between customers, engineers, suppliers, the sales team, and our warehouse operations. The successful candidate will play a key role in ensuring the smooth and efficient coordination of equipment hires, deliveries, collections, installations, service works, and breakdown support.

Working in a fast-paced environment, you will be responsible for managing multiple priorities while maintaining excellent attention to detail and delivering an outstanding level of customer service. This is an exciting opportunity for someone who enjoys problem-solving, thrives under pressure, and wants to develop their career within a dynamic and growing company.

Key Responsibilities

Process and manage hire contracts, extensions, exchanges, and off-hires accurately and efficiently.
Raise customer invoices and maintain accurate hire records using the company's hire management systems.
Create and maintain fleet asset records and equipment information.
Coordinate transport, deliveries, collections, installations, and de-installations to ensure seamless project delivery.
Schedule and allocate engineers for installations, maintenance visits, service work, and equipment breakdowns.
Maintain accurate and up-to-date operational data to support informed business decisions.
Raise purchase orders, process supplier invoices, and assist with supplier account administration.
Work closely with the warehouse team to ensure equipment availability and operational efficiency.
Support the sales team with customer requirements and ongoing hire activities.
Ensure all administration is completed accurately and in accordance with company procedures.

Skills, Knowledge & Experience

Essential

Previous experience in an administrative or coordination role within a busy office environment.
Excellent organisational skills with the ability to prioritise and manage multiple tasks effectively.
Strong communication and interpersonal skills.
High level of accuracy and attention to detail.
Competent user of Microsoft Office applications, including Outlook, Excel, and Word.
Ability to remain calm and professional when working under pressure.
Strong problem-solving skills and a proactive approach to finding solutions.
Ability to work independently and as part of a collaborative team.
Positive attitude with a willingness to learn, develop, and take on new challenges.

Desirable

Experience within the hire, rental, HVAC, or equipment hire sectors.
Experience using hire management software such as OnRent, or similar platforms.
Experience using accounting packages such as Xero.
Understanding of transport planning, logistics, scheduling, or service coordination.
