About the Role:
The Operations & Marketing Assistant plays a key role in ensuring the smooth day-to-day running of the organisation during afternoon and evening operating hours. This position combines front-of-house responsibilities, operational oversight, and marketing support.The successful candidate will be the primary point of contact for visitors, artists, tenants, partners, and members of the public, while also acting as Duty Manager during evening hours.
In addition, they will support the organisation's marketing and communications activities, helping to promote programmes, events, exhibitions, and organisational achievements across a range of platforms.
This is an ideal opportunity for someone with strong customer service skills who is interested in developing experience in administration, operations management, marketing, and communications.
Key Responsibilities Reception & Front of House:
- Provide a professional, welcoming, and friendly reception service.
- Act as the first point of contact for visitors, tenants, contractors, and members of the public.
- Answer telephone calls, emails, and general enquiries in a timely and professional manner.
- Manage room bookings and assist with space hire enquiries.
- Maintain visitor sign-in procedures and building access records.
- Receive deliveries and distribute post appropriately.
- Ensure reception and public areas remain tidy, welcoming, and well-presented.
- Provide information about organisational activities, events, and services.
Operations & Duty Management:
- Act as the designated Duty Manager during evening operating hours.
- Ensure the building operates safely and efficiently during assigned shifts.
- Open and/or close the building in accordance with organisational procedures.
- Conduct routine building checks and report maintenance issues.
- Respond appropriately to incidents, emergencies, and safeguarding concerns.
- Ensure compliance with health and safety procedures and organisational policies.
- Liaise with building users, tenants, contractors, and event organisers as required.
- Monitor building security and access arrangements.
- Maintain accurate operational records and incident logs.
- Escalate operational concerns to senior management when necessary.
Marketing & Communications:
- Assist in planning and delivering marketing campaigns.
- Create and schedule social media content across platforms including Instagram, Facebook, LinkedIn, and other relevant channels.
- Support the creation of engaging visual content using Canva or similar software.
- Draft and schedule social media posts promoting organisational activity.
- Assist with website updates and content management.
- Support the production and distribution of email newsletters.
- Capture and organise photographs, videos, testimonials, and promotional content.
- Monitor social media engagement and provide basic performance reporting.
- Maintain marketing databases and contact lists in accordance with GDPR requirements.
- Support audience development and engagement initiatives.

Essential Criteria
Experience:
- Experience in a customer-facing, reception, front-of-house, or administrative role.
- Experience providing excellent customer service.
- Experience using Microsoft Office applications, including Outlook, Word, and Excel.
- Experience managing multiple priorities and working independently.
