Proposals Coordinator – Full/Part Time

The successful candidate will join our Pre-Construction team at our Head Office in Inverkeithing and play an important role in our work-winning activities. The role will involve coordinating the bid process and helping to craft tailored bid submissions that secure future projects for both public and private sector clients as the business continues to expand.

However, we recognise that strong candidates may come from a range of backgrounds and welcome applications from individuals with different combinations of qualifications, industry experience, and transferable skills, including experience in bid coordination, marketing, communications, graphic design, or document production.

Job Summary
The Proposals Coordinator will support the Pre-Construction Team in the coordination, production and publication of PQQ and tender submissions across both public and private sector opportunities.
The role will focus on managing tender information, compiling and professionally presenting submission documentation, maintaining the company’s bid library and supporting materials, and assisting with the preparation of marketing content.
By spearheading the coordination and production aspects of submissions, the role will help ensure tenders are delivered efficiently and to a high professional standard while supporting the wider Proposals / Pre-Construction function.
Key Responsibilities:
- Monitoring procurement portals and managing incoming tender communications.
- Acting as the central point of contact for tender information received from clients, consultants and quantity surveyors during the bid process.
- Downloading, organising and distributing tender documentation, updates, clarification responses and addendums.
- Creating and maintaining bid templates and submission structures.
- Formatting, compiling and professionally publishing tender submissions using Adobe InDesign / Publisher.
- Managing document control and version management throughout the bid process.
- Maintaining the company’s bid library, including project case studies, staff CVs and supporting submission materials
- Collecting and organising project evidence from delivery teams including photographs, reports, statistics and other relevant supporting proposals documentation.
- Producing graphics and visual materials for tender submissions, such as site logistics plans.
- Supporting the preparation and publication of marketing materials for Muir Construction, including newsletters, website content and company updates.
- Support the with Pre-Construction with administrative duties as required.
Skills & Experience:
- Relevant degree in marketing, communications, business, graphics or a related discipline (or equivalent experience).
- Experience working in a bid coordination, proposals, marketing or similar role.
- Strong organisational skills and the ability to manage multiple deadlines.
- Experience formatting and producing professional documents and presentations to a high standard.
- Experience using Adobe InDesign / Publisher to format and publish tender submissions or marketing materials would be highly advantageous.
- Proficient in full MS Office Suite as well as design tools such as Canva.
- Strong attention to detail and the ability to work effectively in a fast-paced environment.
- Excellent communication and organisational skills.
