About the role
We are seeking a highly organised and proactive Project Coordinator to support the successful delivery of the Beauly to Peterhead Overhead Line (OHL) project, based out of our office in Elgin.
This is a pivotal role where you will provide consistent coordination across key areas including documentation control, planning support, logistics, commercial administration, and project governance.
What you'll be doing
Project & Information Management
- Support the Document Control teams to manage, control and maintain all project documentation, ensuring accurate version control, audit compliance and alignment with project standards.
- Coordinate key Project Management document reviews, approvals, and transmittals across internal teams and the Client.
- Support preparation of weekly and monthly reporting inputs (progress, H&S, commercial, environmental).
- Maintain project trackers, registers and logs thereby ensuring data accuracy and timely updates.
- Produce professional reports, spreadsheets and presentations using Microsoft 365 and project-specific systems.
Planning, Scheduling & Governance Support
- Assist project teams with planning, sequencing and scheduling tasks, including collation of inputs for short-term lookaheads.
- Update project calendars, milestone trackers and deliverable schedules.
- Ensure onboarding, induction and compliance requirements are completed and documented for all personnel.
- Support audits (internal and client), ensuring required evidence is collated, validated and filed.
Health, Safety & Environmental Support
- Promote and uphold a Zero Harm culture across all project activities.
- Maintain and update (with the aid of the office management and H&S teams) project signage, notice boards, safety communications and essential documentation.
- Coordinate the issue, collection and filing of H&S documentation including RAMS, inductions, permits and inspections.
- Support site teams in tracking observations, close calls and compliance reporting.
Team & Stakeholder Coordination
- Support new starters, contractors and visitors through onboarding, induction and mobilisation arrangements.
- Coordinate team meetings, workshops and reviews; produce agendas, minutes and action logs.
Logistics, Procurement & Commercial Support
- Coordinate with other support functions to ensure travel, accommodation and resource movements are looked after
- Coordinate with other support functions to ensure they liaise with suppliers to coordinate delivery of materials, equipment and site resources.
- Identify and report risks that may impact budget, schedule or scope, escalating early where required.
- Keep up to date a Resource Tracker for the BBNP project
Digital & Systems
- Maintain strong proficiency in Microsoft 365, including SharePoint, Excel, Power BI, Word and PowerPoint.
- Drive consistent use of templates, naming conventions and project governance standard
Who we're looking for
- Proven experience in project coordination, project controls or administrative support on large construction, civil engineering, utilities or infrastructure projects.
- Strong organisational skills with the ability to manage competing priorities in a fast-paced construction environment.
- Excellent verbal and written communication skills with confidence engaging stakeholders across all levels.
- Strong attention to detail with a proactive, solution driven approach.
- Ability to work independently and collaboratively across field-based and office-based teams.
- Full UK driving licence (remote/rural project locations).
- Experience working under NEC contracts (preferred but not essential).
- Competent in Microsoft 365 and comfortable with digital project systems and workflows
