Executive Assistant & Office Manager
We are a growing construction management business seeking a highly organised, proactive and dependable Executive Assistant & Office Manager to become a key part of our team.
This is a broad and trusted support role for someone who enjoys creating order, keeping things moving and becoming the person others rely on. You will play a central part in the day-to-day running of the business, supporting the Managing Director directly while also helping the wider team stay organised, efficient and well supported.
The right person will be proactive, commercially aware, confident with people and comfortable taking responsibility. This role would suit someone who enjoys variety, takes pride in doing things properly and wants to make a genuine difference within a busy and professional small business environment.
The role
You will act as a key support point within the business, helping to ensure that the Managing Director, office and wider team are organised, informed and able to work efficiently.
The role is expected to be split broadly between Executive Assistant / PA support to the Managing Director and wider office management / business support.
This is not a traditional administration role. It is a varied, hands-on and trusted position involving coordination, communication, organisation, follow-up and process improvement across the business.
Your responsibilities will include:
- Providing Executive Assistant / PA support to the Managing Director, including diary management, meeting coordination, reminders, follow-ups and general business administration
- Helping to manage priorities, actions and communication so that key matters are not missed
- Managing the smooth day-to-day running of the office
- Acting as a central point of contact for staff, clients, consultants, subcontractors, suppliers and other external contacts
- Answering calls and handling general enquiries in a professional and helpful manner
- Managing internal systems, templates, trackers and reporting
- Maintaining accurate, organised and up-to-date digital filing systems
- Supporting HR administration, recruitment coordination, onboarding and internal records
- Supporting marketing, social media and CRM activity, including maintaining contact records, helping manage campaigns, preparing updates and supporting follow-up activity
- Preparing, formatting and issuing documents, reports, meeting notes and presentations
- Coordinating general business administration, correspondence and office processes
- Supporting project administration, document control and commercial administration where required
- Assisting with purchase orders, invoice tracking, timesheets, expenses and supplier records where required
- Helping to improve internal processes and taking ownership of tasks that free up senior management time
About you

- Able to learn new systems quickly and use digital tools effectively
- Interested in helping improve systems, structure and ways of working as the business grows
Experience and skills required
We are looking for someone with previous experience in one or more of the following roles:
- Executive Assistant
- Personal Assistant
- Office Manager
- Business Support Manager
- Operations Administrator
- Senior Administrator
- HR / Recruitment Administrator
- Marketing or Communications Coordinator
You should have:
- Excellent administrative and organisational skills
- Strong working knowledge of Microsoft Office, particularly Outlook, Word, Excel and PowerPoint
- Experience using SharePoint, Teams or similar digital filing / collaboration systems
- Confidence using digital systems and the ability to learn new platforms quickly
- Good written and verbal communication skills
- A professional and confident approach to dealing with a range of people
- Experience supporting a senior leader, director or business owner
- The ability to manage confidential information appropriately
- Good attention to detail and the ability to produce well-presented documents
- An interest in supporting marketing, social media, client communications and CRM-led business development activity
Experience using HubSpot, or a similar CRM / marketing platform, would be advantageous but is not essential. More important is that you are digitally confident, organised and able to learn new systems quickly.
Experience in construction, property, engineering or professional services is also necessary.

Working pattern
Full-time is preferred, but we are open to hearing from candidates who would like to work part-time or around school hours. Salary will be paid on a pro rata basis where applicable.
