Executive Assistant to the Managing Director (Freelance / Contractor)
Location: Remote (UK Based)
Hours: Up to 10 hours per week initially
Rate/Pay: Up to £25 per hour (£250 per week/£1,000 per month)

As we continue to grow, we are looking for a highly organised, proactive and commercially aware Executive Assistant to support our Managing Director directly.
This is not a traditional administrative role. We are looking for someone who can become a trusted right-hand support, helping manage priorities, communications, scheduling and day-to-day operational administration to maximise efficiency and ensure nothing important falls through the cracks.
The Role
You will act as the first point of coordination and support for the Managing Director, helping to manage competing priorities, communications, diary commitments and administrative tasks.
The successful candidate will be highly organised, confident communicating with senior stakeholders, able to work independently and comfortable making sensible decisions regarding priorities and urgency.
Key Responsibilities
Executive Support
- Helping the Managing Director stay organised and focused on high-value activities
- Maintaining visibility of key priorities and deadlines
- Following up on actions agreed in meetings
- Preparing meeting agendas and notes where required
- Providing general administrative and organisational support
Executive & Diary Management
- Managing and coordinating the Managing Director’s diary
- Scheduling meetings internally and externally
- Coordinating appointments, calls and video meetings
- Ensuring adequate focus time is protected within the diary
- Identifying scheduling conflicts and proposing solutions
- Prioritising requests and ensuring important matters are escalated appropriately
Communication & Gatekeeping
- Acting as a first point of contact when required
- Handling incoming calls when the Managing Director is unavailable
- Taking detailed and accurate messages
- Filtering communications and prioritising urgent matters
- Managing follow-up actions and ensuring tasks are not missed
- Liaising with clients, partners and suppliers professionally on behalf of the business
Travel & Logistics
- Researching and booking travel arrangements
- Booking hotels, restaurants and venues
- Organising team activities and events
- Preparing itineraries where required
- Managing booking confirmations and logistics
Administration & Business Support
- Data entry and administration support
- Inputting financial and operational information into templates and reporting documents
- Assisting with document preparation and formatting
- Maintaining action trackers and task lists
- Supporting management reporting requirements
- Monitoring deadlines and key business commitments
Finance & Operational Coordination
- Forwarding invoices and expenditure information to the finance team
- Monitoring outstanding client actions where required
- Chasing information from internal teams and external contacts
- Supporting project and workflow coordination
- Assisting with general business administration tasks as required
