About the role
The Travel Co-ordinator is responsible for the end-to-end management of all business travel across the organisation, covering both UK and worldwide travel. The role ensures travel arrangements are made efficiently, cost-effectively and in line with company policies, while coordinating logistics, managing budgets, ensuring compliance with visa and right-to-work requirements, and accurately processing travel-related expenses.
This is a permanent, full-time, office-based role requiring excellent attention to detail and strong collaboration with internal teams.
What you'll be doing
- Coordinate all aspects of business travel across the UK and worldwide
- Arrange flights, hotels, taxis, transfers and ground transportation
- Use travel booking and expense management systems (e.g. SAP Concur, Corporate Traveller, TravelPerk or similar)
- Act as the central point of contact for all travel requests, changes and cancellations
- Negotiate rates with airlines, hotels and travel providers to achieve best value?
- Manage travel logistics including complex itineraries and last-minute changes
- Process and track travel expenses accurately within agreed timescales
- Monitor travel spend and manage budgets, identifying cost-saving opportunities
- Maintain accurate accounting records associated with travel for reporting and audit purposes(Concur/Xero)
- Ensure compliance with visa, immigration and right-to-work requirements
- Collaborate closely with internal teams, Finance, HR and external suppliers
- Provide traveller support before, during and after travel
What we're looking for
- Recent and relevant experience in a travel co-ordination or similar role
- Demonstrable attention to detail and accuracy
- Recent experience booking UK and international business travel
- Experience in processing expenses and credit cards and tracking spend
- Strong organisational and time management skills
- Resilient and able to manage conflicting timescales, often at short notice
- Confident communicator able to collaborate with internal and external stakeholders
- Competent user of Microsoft Office
Desirable experience
- Experience using travel or expense management systems such as SAP Concur, Corporate Traveller, TravelPerk etc
- Experience negotiating rates with travel suppliers
- Previous experience working in a finance or shared services environment
