Project Management Coordinator
Complete Building Solutions (CBS) is a growing construction company delivering high-quality refurbishment, fit-out and building projects across London and the South East.
We are looking for an exceptional Project Management Coordinator to become the organisational hub of our business.
This is not a traditional administration role.
We are looking for someone who genuinely enjoys organising information, coordinating people and ensuring nothing gets missed. You will become the central point of coordination for every project, supporting our Directors, Quantity Surveyor, Project Managers and Site Managers to ensure every project follows The Complete Way from enquiry through to successful completion.

Duties & Responsibilities
As our Project Management Coordinator, you will be responsible for coordinating the project management process across every live project.
Your responsibilities will include:
Project Coordination
- Coordinate projects through each stage of the CBS Project Management Process.
- Maintain accurate project records and documentation.
- Ensure project information is always up to date.
- Track key project milestones and deadlines.
- Monitor progress and highlight upcoming actions.
- Coordinate project start-up and project close-out activities.
Programme Management
- Maintain and update Microsoft Project programmes.
- Monitor upcoming milestones and key dates.
- Coordinate weekly project reviews.
- Ensure agreed actions are completed.
- Keep project trackers and dashboards current.
Procurement Coordination
- Monitor procurement schedules.
- Chase quotations and supplier information.
- Track long lead items.
- Ensure procurement activities are completed in line with programme requirements.
Client & Team Communication
- Coordinate weekly client updates.
- Arrange meetings and prepare agendas.
- Issue meeting minutes and action trackers.
- Ensure information is communicated clearly between clients, suppliers and the project team.
Document Control
- Maintain project files and registers.
- Issue drawings and documentation.
- Track RFIs, approvals and Building Control inspections.
- Ensure compliance documentation is complete and current.
Reporting
Maintain company project management systems including:
- Project Dashboard
- Procurement Tracker
- Action Tracker
- Risk Register
- Programme Updates
- Weekly Project Review
Experience & Skills
We are looking for someone who is naturally organised and enjoys coordinating multiple activities simultaneously.
You will ideally have experience in:
- Project coordination or project administration.
- Construction, engineering, facilities management or a similar project-based environment.
- Microsoft Office, particularly Excel and Outlook.
- Microsoft Project (training can be provided).
- Managing multiple priorities.
- Producing accurate documentation.
- Coordinating meetings and actions.
- Working closely with internal teams, suppliers and clients.

Pay: £38,000.00-£45,000.00 per year
