About the Role
We are seeking a highly organised and proactive Tenancy Co-ordinator to join our growing and friendly team. This is a key administrative role within the lettings process, responsible for managing the journey from an accepted application through to tenancy commencement, as well as supporting end-of-tenancy procedures.
This is a fast-paced position requiring strong attention to detail, excellent communication skills, and the ability to work to deadlines while collaborating closely with Lettings Negotiators and Property Managers across multiple offices.
Key Responsibilities
Pre-Tenancy & Lettings Administration
- Overseeing the process following acceptance of an application for tenancy
- Taking receipt and administering holding deposits
- Reviewing tenant referencing reports and ensuring full compliance
- Conducting Right to Rent checks in line with legislation
- Preparing and issuing tenancy agreements and guarantor agreements
- Issuing all required compliance documentation, including Gas Safety Certificates and EICRs
- Notifying utility providers of tenant move-ins
Rent Processing
· Receipt rent payments onto software
· Process contractor payment
· Process Landlord payments
· Arrears Chasing and updating Landlords
Landlord Compliance & Onboarding
- Chasing landlords for Terms of Business
- Obtaining landlord identification (including passports)
- Carrying out landlord sanction checks for all new instructions and re-lets
End of Tenancy Support
- Liaising with Property Managers to coordinate end-of-tenancy processes
- Booking check-out appointments
- Notifying utility providers of tenant move-outs
About You
- Highly organised with strong administrative skills and attention to detail
- Able to manage multiple tasks and meet deadlines in a busy environment
- Confident communicator, comfortable liaising with landlords, tenants, and internal teams
- Team player who works collaboratively across departments
- Proactive, with a positive and “can-do” attitude
- Comfortable working in a role with a heavy administrative focus
Additional Information
- Based predominantly in our Lymington office, with some travel required to other offices including Romsey and Wimborne
- Full-time position, Monday to Friday, with occasional Saturdays (time back in lieu provided)

Pay: £28,000.00-£32,000.00 per year
