Lettings Maintenance Coordinator
Hours:
Part-Time (16–20 hours per week)
Contract:
Temporary (3 months), with a clear pathway to Permanent and potentially Full-Time for the right candidate
This is a critical operational role focused on coordinating and progressing property maintenance, contractor management, compliance administration, and customer communication.
You will operate within a highly systemised environment, utilising CRM platforms, maintenance software (Fixflo), and digital workflows to ensure consistency, compliance, and service excellence.

Key Responsibilities
Administrative & Operational Support
- Maintain accurate digital records across CRM systems
- Manage inbound calls and emails
- Coordinate appointments, contractor visits, inspections, and maintenance workflows
- Ensure maintenance cases are updated accurately and consistently
Repairs & Maintenance Progression
- Manage maintenance cases through Fixflo and internal systems
- Liaise with tenants, landlords, and contractors to coordinate repair works
- Track job progress, quotations, invoices, and completion evidence
- Ensure repairs are progressed efficiently and within agreed timescales
- Escalate delays or contractor performance concerns where required
Contractor Coordination & Compliance
- Assist in contractor onboarding and compliance checks
- Monitor contractor certifications and documentation
- Coordinate access arrangements and scheduling
- Support ongoing contractor performance tracking
Compliance & Documentation
- Monitor and manage property safety certification (Gas, EPC, EICR)
- Ensure adherence to internal compliance standards and legislation
- Maintain organised digital compliance records
- Assist with licensing and regulatory administration
Customer Communication
- Provide clear and professional updates to tenants and landlords
- Handle maintenance-related queries and follow-ups
- Deliver a high standard of customer service throughout the repair process

Skills & Experience Required
- Previous experience within property, maintenance coordination, scheduling, or administration (desirable)
- Strong organisational and multitasking ability
- Excellent written and verbal communication
- Confident with Microsoft Office and digital systems
- High attention to detail and accuracy
- Ability to work both independently and within a structured team

Salary & Benefits (Full-Time Equivalent)
Basic Salary:
£25,000 FTE
Bonus Structure:
- £100 per new Let with AMRP instruction (Target: 1 per month)
- £150 per new Sell with AMRP instruction (Target: 1 per month)
- Total Monthly Bonus Target: £250
On Target Earnings:
£28,000 FTE
Additional:
- Company profit share (negotiable)
