Full job description

Job Summary

Headon is a long-established property development company based in St Andrews. We are seeking an organised Accounts & Administration Assistant to join the team.

The role will be to support the existing team with accounts and administration duties. Responsibilities will include the following:

Responsibilities

Process Goods Received Notes (GRNs) accurately and in a timely manner.
Assist with the preparation of invoices, financial reports, and other documentation using Microsoft Office and Xero.
Collate and process payments to suppliers and subcontractors, ensuring accuracy and adherence to payment schedules.
Allocate and post costs to the appropriate cost codes.
Support month-end and year-end accounting procedures, including reconciliations and reporting.
Prepare and collate documentation for external accountants to assist with the completion of VAT returns.
Perform bank reconciliations and accurately record daily banking transactions.
Assist with the preparation and processing of weekly and monthly payroll.
Manage diaries and email inboxes by organising, prioritising, and responding to correspondence where appropriate.
Answer incoming telephone calls professionally, greet visitors, and provide administrative support as required.
Carry out accurate data entry, ensuring financial and administrative records are maintained and kept up to date.
Work collaboratively with colleagues to support efficient communication and the smooth running of office operations.
Maintain a tidy, organised, and professional office environment.
Undertake general accounts and administrative duties as required to support the Finance and Management teams.

Skills

Strong organisational skills with the ability to prioritise tasks effectively.
Sound knowledge of 3-way matching of purchase orders/goods received notes/invoices.
Ability to understand chart of accounts and function thereof.
Familiarity with Xero Accounting Software.
Proficient in administrative duties with a keen attention to detail.
Familiarity with Microsoft Office Programmes Including Word, Excel, PowerPoint & Teams.
Excellent phone etiquette and interpersonal skills for effective communication.
Basic clerical skills including typing proficiency and familiarity with general office equipment.
Ability to take initiative and work independently as well as part of a team.

Hours: Monday to Friday 9am-5:30pm
