About Us
We are a busy and growing Building Surveying practice providing professional surveying services. We are looking for a proactive and organised Administration Assistant to become a key part of our team and help ensure the smooth day-to-day running of the office.
The Role
This is a varied administrative position that requires excellent communication and organisational skills. You will be the first point of contact for many of our clients, handling incoming enquiries, supporting our surveyors, and ensuring jobs are managed efficiently from initial enquiry through to completion.
Key Responsibilities
- Answer incoming telephone calls professionally and confidently.
- Make outbound calls.
- Manage company email inboxes and respond to routine enquiries.
- Prepare and issue invoices and assist with payment tracking.
- Follow up quotations, surveys, and outstanding client requests.
- Schedule survey appointments and manage surveyors' diaries.
- Provide updates to clients regarding survey progress and report completion.
- Answer basic customer and survey-related queries, escalating technical matters where necessary.
- Maintain accurate client records and job files.
- Prepare documents, reports, and correspondence.
- Support the surveying team with general administrative duties.
- Ensure office systems and processes remain organised and efficient.
Requirements
- Previous experience in an administrative, office support, customer service, or receptionist role.
- Excellent telephone manner and confidence speaking with customers.
- Strong written communication skills.
- Excellent organisational skills with the ability to prioritise workloads.
- High level of accuracy and attention to detail.
- Ability to work independently and as part of a team.
- Professional, friendly, and reliable approach.
