Transformation Management Office Coordinator
1 FTE / 35 Hours per week (2 Year Fixed Term)

This is a central coordination and control role across the University’s Transformation and Operational Excellence portfolio. You will be the connective layer across programmes, keeping governance, reporting, delivery cadence, documentation and ways of working consistent, scalable and reusable.
You will not own delivery outcomes. You will enable good decisions, escalation and assurance by Project Leads and senior sponsors through high-quality coordination, information management and governance discipline. Key Responsibilities:
- Coordinate project activity across the Operational Excellence and Marjon’s 2030 Strategy Portfolio, supporting distinct Project Leads while holding a single, coherent view of delivery.
- Maintain integrated plans, RAID logs (risks, assumptions, issues and dependencies), decision registers and action trackers across both portfolios.
- Prepare consistent governance packs, dashboards and reports for Project Leads and the Director of Transformation.
- Provide independent assurance on the quality and accuracy of reporting, highlighting gaps and inconsistencies.
- Synthesise information into clear insights, risks and actions to support decision-making by Project Leads and sponsors.
- Provide full secretariat support to portfolio and transformation governance forums. Follow up actions and decisions to closure.
- Apply reporting standards, templates and cycles consistently across delivery, so governance and reporting drive delivery performance rather than process compliance.
- Maintain delivery cadence, ensuring reporting cycles, timelines and updates are consistently met in support of the Project Lead.
- Support the roll-out and reuse of Operational Excellence outputs into Marjon’s 2030 Strategy Portfolio, so good work is adopted rather than reinvented.
- Maintain a central, version-controlled repository of approved standards and artefacts that people can find and use.
- Own the structure of shared project tools such as SharePoint and Planner. Act as a key liaison point between Project Leads, delivery teams, stakeholders and external partners.
What you’ll bring:
Essential
- Degree or equivalent professional experience in a relevant discipline.
- Experience in a project support, PMO, coordination or administrative role, working across multiple tasks or projects at once.
- Experience supporting governance boards and senior stakeholders.
- Strong organisational and planning skills with high attention to detail.
- Ability to manage dependencies, information and competing priorities.
- Confidence to pre-empt the needs of stakeholders and provide proactive support.
- Confident use of Microsoft 365 including Teams, SharePoint and Excel. Appropriate use of generative AI tools such as Copilot.
- Good digital data handling, including accurate data entry, organised file management and secure information sharing in line with GDPR and information governance.
- Well organised, reliable and able to work calmly under pressure while managing competing priorities.
Desirable
- Experience in Higher Education or a comparable complex organisation.
- Evidence of professional development in project or programme management, for example PRINCE2, Agile or PMO frameworks.
- Ability to identify opportunities for reuse and standardisation.

Where you’ll work:
You will be part of the Transformation Management Office on our green campus in the north of Plymouth. Under our hybrid working policy you may work from home or on campus. Regular on-site presence is expected to support collaboration, stakeholder engagement and delivery.
