Job Overview

We are seeking a highly organised and detail-oriented Administration Assistant to support our team with a variety of clerical and administrative tasks. This role offers an excellent opportunity for individuals with office experience and strong computer skills to contribute to the smooth operation of our organisation. The successful candidate will be responsible for managing correspondence, data entry, and maintaining efficient office procedures, ensuring all activities are carried out accurately and professionally.

Responsibilities

Manage incoming calls with professional phone etiquette, directing enquiries appropriately.
Ensure confidentiality of sensitive information at all times.
Follow up on patient enquiries.
Assist in diary management and updating calendars.
Take ownership for co-ordinating patient appointments for allocated practice clinics.
Obtaining relevant patient information and updating patient admin system.
Ensure that all clinical documentation is available for consultants, patients and third parties when required.
Respond to all queries from patients, staff and other third parties in a timely manner.
Efficient management of all clinical correspondence, ensuring all actions are completed within expected deadlines.
Provide direct support to the Practice Co-Ordinator in ensuring all day-to-day duties are carried out efficiently to high standards.
All other secretarial, administrative and office duties as reasonably required on a flexible basis to support the practice in delivery of a high-quality service.

Experience

High level of accuracy, numeracy, and attention to detail.
Self-motivated, taking initiative and ownership.
High level of organisation & efficiency skills.
Effective time management with the ability to prioritise efficiently.
Excellent communication and interpersonal skills with an excellent telephone manner.
Ability to handle sensitive and confidential information – strict compliance with GDPR.
High level of resilience and empathy in dealing with difficult patient health issues.
Team player.
Ability to be flexible and versatile to accommodate the customer and team needs.
Ability to produce quality work under pressure.
High levels of integrity and trust.
Confident, can-do attitude.
Experience of using multiple IT systems.
High level of discretion is paramount.

Pay: £25,000.00 per year
