Glasgow Skin Specialists
Glasgow Skin Specialists is an independent, doctor-led clinic providing rapid access to expert assessment and treatment for skin cancer, minor skin lesions and dermatological conditions. The clinic is developing a multidisciplinary team of surgeons, dermatologists, nurses and patient support staff.
Role Overview
We are looking for a warm, capable and highly reliable person to provide front-of-house, administrative and clinical support during our Wednesday evening and Saturday clinics. The postholder will help patients feel welcome and well looked after, keep each clinic session running smoothly, and provide additional resilience across core clinic operations.
This is a varied, practical role in a small team. It will suit someone who is equally comfortable greeting patients, managing accurate documentation and payments, supporting clinicians in the procedure room, and completing routine safety and governance checks. The postholder will work within their training and competence and will not make clinical decisions or provide clinical advice independently.
Working Pattern
- Wednesday: 5.00 pm-8.30 pm (3.5 hours), supporting consultations and theatre activity, followed by end-of-session duties and clinic close-down.
- Saturday: 8.30 am-4.30 pm (8 paid hours, including a paid 30-minute lunch break), supporting operating lists, follow-ups and consultations, followed by end-of-session duties and clinic close-down.
- Additional hours may occasionally be offered to cover planned or unplanned staff absence, by prior agreement.
Key Responsibilities
Patient reception and administration
- Answer the clinic intercom, admit patients and maintain appropriate access and security arrangements.
- Open the door, welcome patients and check them in using their name and date of birth.
- Answer incoming telephone calls professionally, direct booking enquiries to the clinic website where appropriate, and record accurate messages for call-back.
- Check that patient registration and other required forms have been completed and obtain missing information in accordance with clinic procedures.
- Take and accurately record payments, issue invoices or receipts, and support patients to arrange follow-up appointments.
- Print clinician-authorised prescriptions and send approved patient information leaflets, aftercare instructions and other documentation.
- Send GP letters and pathology results only once these have been reviewed and authorised by the responsible clinician, using approved secure processes.
- Handle personal and health information sensitively and maintain patient confidentiality at all times.
Clinical and theatre support
- Act as a chaperone when requested, in accordance with the clinic chaperone policy.
- Provide non-sterile circulating assistance during minor surgical procedures, under the direction of the operating clinician or Lead Nurse.
- Support preparation and turnaround of the clinical environment, including light cleaning and restocking tasks, in line with infection prevention and control procedures.
- Prepare, label and check pathology specimen pots and accompanying documentation with the responsible clinician, following the clinic specimen-handling procedure.
- Maintain the pathology tracking record, including patient name, date of birth, number of specimens and pots, the relevant date, and a reconciled total number of pots at the end of the list. Escalate any discrepancy immediately.
- Refill cryotherapy canisters only after appropriate training and in accordance with the clinic risk assessment, safety procedures and manufacturer instructions.
- Recognise the limits of the role, seek clinical support when needed, and never provide independent clinical advice or undertake tasks beyond training and competence.
Clinic readiness, safety and governance
- Check battery and charge levels for clinic equipment, including iPads, dermatoscope and payment terminal, and ensure equipment is ready for use.
- Complete designated daily or weekly governance checks when required, including during Lead Nurse absence, using the clinic governance system and established procedures.
- Promptly escalate omissions, equipment faults, safety concerns, incidents or other items requiring clinical or managerial attention.
- Support stock monitoring and advise the Lead Nurse or Managing Director when supplies require replenishment.
- Follow clinic policies relating to infection prevention and control, information governance, health and safety, incident reporting, safeguarding and emergency procedures.
- Undertake required induction, mandatory training and updates, including Basic Life Support appropriate to the role.
General Responsibilities
- Contribute positively to a small, collaborative team and support a calm, professional and reassuring patient experience.
- Work flexibly within the agreed role to respond to the practical needs of the clinic and its patients.
- Maintain accurate records and complete delegated tasks promptly and reliably.
- Participate in induction, supervision, team meetings and service improvement activity as required.

Person Specification
Essential
- Excellent interpersonal and communication skills, with a warm, calm and professional manner.
- Strong attention to detail and confidence handling accurate patient information, documentation and payments.
- Reliable, organised and able to work effectively in a small team during busy clinic sessions.
- Comfortable working in a clinical environment and providing practical support during minor surgical procedures.
- Good digital skills and confidence learning clinic systems and equipment.
- A clear understanding of confidentiality and the importance of working within defined procedures and role boundaries.
- Willingness to undertake Basic Life Support and all other mandatory training required for the role.
- Availability to work the regular Wednesday evening and Saturday hours described above.
Desirable
- Previous experience in a healthcare, outpatient, theatre, dental, cosmetic or other regulated clinical setting.
- Previous reception, patient administration, customer service or payment-handling experience.
- Experience acting as a chaperone or providing non-sterile procedural support.
- Experience of specimen handling, pathology tracking, stock control or routine clinical governance checks.
- Current Basic Life Support training.
