Full job description

We seek a pleasant hard working Dispensing Assistant/Trainee to join our busy Dispensary Team with a start date as soon as possible. We value our good reputation and the high quality of service we deliver to our patients. As a front-line member of non-clinical staff you will be an integral part of the Practice providing patients with direct care and support. The post will form part of our Dispensary Team working with all members of the Practice Team. This post is offered for 20.5 hours per week, Monday 8:30-18:30, Wednesday 8:30-16:30, Friday 14:30-18:30 . Cover for absent colleagues is essential (planned absence such as holidays or sickness) General Practice is a first point of care, candidates must be confident to cope with the demands of the general public. This is a great opportunity for someone who wants to be part of an excellent team, who thrives on being busy and has a desire to do a great job for themselves and for our patient population. This would suit someone who lives within the local area of the Forest of Dean and the surrounding areas.

Job Purpose

The Dispensing Assistant/Trainee supports the safe, efficient, and patient‑centered running of the GP practice dispensary. The role involves preparing, dispensing, and issuing medications, maintaining accurate records, supporting stock control, and providing high‑quality customer service to patients. The post holder works closely with GPs, pharmacists, nurses, and administrative staff to ensure medicines are supplied safely and in line with legal and clinical standards.

Key Responsibilities Dispensing & Medicines Management

Accurately dispense NHS and private prescriptions under the supervision of a pharmacist or qualified dispenser.
Prepare medication for checking, ensuring correct labelling, packaging, and documentation.
Issue dispensed medicines to patients, providing clear and appropriate information.
Assist with repeat prescription processing, including queries and synchronisation requests.
Support medication reviews by identifying issues such as overdue reviews or stock shortages.

Patient Interaction & Customer Service

Provide a friendly, professional service to all patients.
Handle patient queries in person and by phone, escalating clinical questions appropriately.
Offer guidance on over‑the‑counter products within the limits of training and regulation.
Maintain confidentiality and uphold GDPR requirements at all times.

Stock Control & Dispensary Operations

Receive, check, and store pharmaceutical deliveries safely and efficiently.
Monitor stock levels, expiry dates, and fridge temperatures, taking action to prevent waste.
Assist with ordering medicines and maintaining accurate stock records.
Keep the dispensary clean, organised, and compliant with infection control standards.

Compliance & Safety

Follow all legal and regulatory requirements, including GPhC, MHRA, and NHS dispensing standards.
Adhere to practice policies on controlled drugs, prescription security, and incident reporting.
Participate in audits, quality improvement activities, and dispensary meetings.
Maintain accurate records in line with practice protocols.

Teamwork & Professional Development

Work collaboratively with the dispensary and wider practice team.
Participate in training, including NVQ Level 2/3 in Pharmacy Services (if not already held).
Support new staff and contribute to a positive, patient‑focused working environment.

Person Specification Essential

Strong attention to detail and accuracy.
Excellent communication and customer service skills.
Ability to work under pressure and manage competing priorities.
Commitment to confidentiality and professional standards.

Desirable

NVQ Level 2 or 3 in Pharmacy Services or equivalent qualification.
Experience working in a pharmacy or dispensary environment.
Basic IT skills, including use of clinical systems (e.g. SystmOne) or willingness to learn.
Experience working in a GP practice or primary care setting.
Knowledge of NHS prescription processes and medicines legislation.
Familiarity with dispensary stock control systems.
