Full job description

Job Overview

We are seeking a highly organised, detail-oriented and proactive HR and Payroll Administrator to join our HR team. The successful candidate will be responsible for providing comprehensive administrative support across the employee lifecycle, maintaining accurate employee records and ensuring HR processes are completed efficiently and accurately.

This role will suit someone with excellent attention to detail who is confident handling confidential information, managing multiple priorities and working to deadlines. The HR Administrator will play an important role in supporting the smooth day-to-day operation of the HR function.

Responsibilities

Monitor and action the HR inbox, responding to employee and manager queries and ensuring requests are dealt with promptly.
Maintain accurate and up-to-date employee records within our HR systems.
Manage time and attendance records, ensuring working hours, absences and other relevant information are accurately recorded.
Monitor and maintain absence records, ensuring absence is reported and recorded correctly and managers are kept informed where appropriate.
Set up new employees on all relevant HR, payroll and internal systems and ensure all necessary documentation is completed.
Process employee leavers, including updating systems, completing required documentation and ensuring relevant departments are notified.
Support the onboarding and offboarding process, including issuing documentation, arranging uniform and equipment and completing relevant administration.
Submit and monitor DBS checks where required.
Order and manage employee uniforms, ensuring new starters and existing employees have the appropriate uniform.
Prepare and issue HR letters and correspondence, including probation, role and pay change, disciplinary and other employee-related documentation.
Prepare and issue employment contracts and contractual documentation for new starters and existing employees.
Assist with recruitment administration and supporting the onboarding of successful candidates.
Maintain organised and accurate personnel files in accordance with data protection and confidentiality requirements.
Run HR and payroll reports to ensure accurate information is provided for payroll processing.
Calculate monthly payroll commissions and provide the relevant information for payroll processing.
Support the wider payroll process by ensuring changes to employee details, hours, absence, holiday and other relevant information are accurately recorded and submitted within the required deadlines.
Assist with training and e-learning administration, ensuring employee training records are kept up to date.
Support the HR team with employee relations, recruitment, compliance and general HR administration as required.
Work collaboratively with managers and other departments to ensure HR processes are followed consistently and efficiently.

Requirements

Previous experience in an administrative role, ideally within HR, payroll or a similar environment.
Strong organisational skills and excellent attention to detail.
Ability to handle confidential and sensitive information professionally.
Good knowledge of Microsoft Office, particularly Word and Excel.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and work effectively to deadlines.
Strong numerical skills and confidence working with spreadsheets and payroll information.
A proactive approach, with the ability to work independently while also supporting the wider HR team.
Previous experience using HRIS, payroll or time and attendance systems would be advantageous.
Knowledge of HR practices and UK employment legislation is desirable but not essential.

Salary and hours to be agreed depending on the successful candidate’s experience and requirements. Hybrid working may be considered following successful completion of the probationary period. Approx 20-30 hours per week. School hours can be considered.

Pay: £28,000.00-£35,000.00 per year
