About the Role
We are looking for a practical, organised and switched-on Office, Operations & Accounts Coordinator to join the team at Nexus Adapt.
Hours: Monday to Friday, 9:00am to 3:00pm
This is not a “sit quietly in the corner and file paperwork” sort of job. One minute you may be in the office matching invoices in QuickBooks, and the next you could be out in hi-vis, safety boots and a hard hat at one of the biggest construction sites in Europe, looking at access requirements for a nuclear power station.
You may also be dropping materials to site, collecting from suppliers, or meeting a subcontractor before works start to make sure everyone knows what they are doing — which, in construction, is always a good start.
Nexus Adapt provides ramps, steps, handrails and access solutions to commercial and residential properties across East Anglia including adaptations that help people stay safe, independent and able to access their homes, workplaces and public buildings.
The right person will be organised, confident, good with people, accurate with information, and happy to muck in where needed.
What You’ll Be Doing
Office & Job Admin
- Answering calls and dealing with emails.
- Logging jobs onto our job management system.
- Updating job records, notes, photos and documents.
- Helping schedule works, appointments and site visits.
- Keeping the office and systems organised.
Accounts Support
- Receiving supplier invoices.
- Matching invoices to transactions in QuickBooks.
- Keeping invoice and payment records tidy.
- Raising customer invoices where needed.
- Chasing outstanding invoices and payments.
- Liaising with our bookkeeper and accountant regarding CIS, VAT and payroll.
- Helping make sure accounts information is accurate and up to date.
Suppliers, Materials & Deliveries
- Ordering materials from suppliers.
- Checking stock, prices and delivery dates.
- Driving a company van to collect materials.
- Delivering materials, tools and equipment to our teams on site.
- Returning materials when required.
- Keeping receipts and paperwork in order — not lost in the van, glovebox, or someone’s pocket.
Site & Pre-Start Visits
- Attending local pre-start visits before works begin.
- Meeting subcontractors and contractors on site.
- Going through the work specification with them.
- Checking they understand what needs doing.
- Feeding any issues or questions back to the management.
Training will be provided, so you do not need to know everything on day one. Common sense, reliability and a willingness to learn are more important.
Staff & Vehicle Support
- Keeping in daily contact with staff about jobs, materials and issues.
- Helping make sure staff have the information, tools and materials they need.
- Reporting vehicle damage, servicing needs, MOTs and maintenance issues.
- Helping keep the wheels turning — sometimes literally.
What We’re Looking For
You will need to be:
- Organised, accurate and reliable.
- Confident using email, Microsoft Office, Teams, Word, Excel and Outlook.
- Comfortable speaking with customers, suppliers, subcontractors and staff.
- Good at typing and data entry.
- Able to manage several tasks at once.
- Practical, calm and able to use common sense.
- Happy to work in the office, visit sites, collect materials and drive a company van.
- Willing to learn about construction, adaptations and access works.
Experience in office administration, accounts support, QuickBooks, construction admin, job coordination or supplier ordering would be useful, but training will be given for the right person.
Requirements
- Full UK driving licence preferred.
- Happy to drive a company van for collections, deliveries and site visits.
- Willing to complete and pass a DBS check.
- Willing to work towards obtaining a CSCS card.
- Willing to complete any required site access requirements, including for Sizewell C or other construction sites where needed.
