As a Facilities Co-Ordinator in our Defence team, you’ll help ensure the safe, compliant, and efficient operation of the Great Harbour facility in Greenock. Your role will support colleagues, customers, contractors, and service providers while helping to deliver essential operational and contractual outcomes.
This is a varied role where your work has purpose. From coordinating maintenance and compliance activities to supporting warehouse operations and landlord relationships, you’ll play an important part in creating a safe and productive environment. Facilities Co-Ordinator Duties and Responsibilities
- Support the day-to-day operation of the Great Harbour facility, helping to maintain a safe, compliant, and efficient working environment ensuring asset records to support operation for audit requirements.

Coordinate planned and reactive maintenance activities, including issuing of purchase orders and tracking projects to completion.

Act as the primary point of contact for the landlord, maintaining effective relationships and coordinating estate-related activities and communications.

Coordinate and liaise with contractors and service providers to ensure works are completed safely and in line with site requirements.

Support the management of planned and reactive maintenance activities, maintaining accurate records and documentation.

Assist in ensuring compliance with relevant legislation, company policies, contractual obligations, and site procedures. Maintain facilities, maintenance, compliance, and asset records to support operational and audit requirements.

Operate forklift trucks and undertake banksman and slinger duties in accordance with training, authorisation, and safe working practices where applicable training will be provided. Assist with vessel support activities and other operational requirements as directed

Monitor waste management arrangements and coordinate waste collections and disposal activities as required including support site inspections, audits, and compliance checks, ensuring any findings are addressed in a timely manner.

Contribute to continuous improvement initiatives that enhance safety, efficiency, and service delivery across the facility.

Support warehouse, stores, and operational activities, including material handling and site support duties where appropriately trained and authorised.

Experience in facilities management, estates, maintenance, warehouse operations, or a similar operational support environment.

Strong organisational skills with the ability to manage multiple priorities and maintain accurate records.

Confident communicator who can build trust and collaborative relationships with colleagues, customers, contractors, and stakeholders.

Experience of working within warehouse and stores environments, including stock control and material handling activities. Good understanding of manual handling practices and safe systems of work

Good understanding of health, safety, and environmental requirements within an operational or industrial environment (COSHH).

IOSH Working Safely or equivalent Health & Safety qualification. (Desirable)

NEBOSH National Examination Board in Occupational Safety and Health. (Desirable)

Previous experience within a maritime, defence, engineering, logistics, or industrial environment (Desirable)

IT literate with proficiency in Microsoft Office applications, including Microsoft Outlook, Word, and Excel

Full UK drivers License

Vetting and checks:
This role requires Baseline Personnel Security Standard (BPSS) clearance, which involves verifying your identity, employment history, nationality, and criminal record to meet government security standards. In addition, depending on the nature of the role, you may need to obtain formal Security Clearance (such as CTC or SC), which includes more detailed background checks on employment, criminal record, and financial history to ensure suitability for working in secure environments. Please note that UK residency requirements may apply for certain levels of clearance. You will also complete an Occupational Health Questionnaire so we can identify and provide any support you may need to undertake the role effectively.
