About the Role
I am looking for a super-organised, detail-obsessed Assistant & Back-Office Property Manager to help me run my property portfolio and daily administration using our Microsoft 365 setup (OneDrive, Excel, and Outlook).
My current system works, but it needs fine-tuning to make it completely streamlined, digital, and hyper-organised.
To start, I will continue dealing directly with tenants. Your main job will be behind the scenes—organising our OneDrive cloud folders, tracking rent payments, keeping property records up to date, delegating repairs to contractors, and ensuring all compliance paperwork is pristine.
Eventually, as trust builds, your role will expand to managing direct tenant relationships and helping me review and improve systems across my garage business as well.
Crucially, I need someone who takes pride in their work and never sits around waiting to be told what to do. Some days will be busy, but on quieter days, I do not want someone asking me, "Have you got anything for me to do?" I want a self-starter who looks around, spots what can be improved, audits files, updates spreadsheets, chases outstanding items, and keeps themselves productively occupied without constant supervision.
Core Responsibilities
Rent Tracking & Payment Reconciliation
- Maintaining an Excel rent ledger to track incoming payments daily/weekly across the portfolio.
- Ensuring every rent payment is accounted for and flagging late payments immediately.
- Operating a firm, structured chase system (issuing polite yet firm payment reminders via email/letter on a set schedule) when rent is late.
Digital Organisation & Systems Management
- Maintaining an individual, perfectly organised OneDrive folder for every single property in the portfolio.
- Storing all property history, past tenancy agreements, maintenance logs, and contractor invoices cleanly in one place.
- Tracking all compliance documents (Gas Safety, EICRs, EPCs, Fire Safety) on Excel so renewal dates are never missed.
- Scanning physical paperwork and saving files to OneDrive with clear, consistent file names.
Contractors & General Executive Support
- Delegating repairs and maintenance tasks to contractors, electricians, and tradespeople.
- Following up with contractors to ensure work is finished and invoices/certificates are received promptly.
- Managing emails in Outlook, screening incoming calls, taking messages, and running occasional errands.
- Future Responsibility: Gradually getting involved in my garage business to help streamline and improve admin operations.
Working Hours & Flexibility
Standard hours are Monday to Friday, 9:00am – 5:00pm.
However, because this is property management, genuine emergencies can occasionally happen outside of normal office hours. While these situations are rare, if you take real pride in your job and care about keeping the business running smoothly, you'll naturally want to step up and help get urgent issues sorted when they arise.
About You
- Naturally Proactive: You take initiative. When things are quiet, you find tasks—auditing folders, refining spreadsheets, checking renewal dates, or organising paperwork.
- Super-Organised: You enjoy neat digital filing systems, clear folder structures in OneDrive, and well-maintained Excel sheets.
- Proficient in Microsoft 365: Strong skills in Excel (tracking sheets, simple formulas, filtering), OneDrive, Word, and Outlook.
- Reliable, Accountable & Independent: You don't need hand-holding, and you take pride in seeing things through to completion.
