Job Description
We are seeking a highly organised, proactive, and dependable Personal Assistant / Senior Administrator to support a busy property investor, entrepreneur, and podcast host across multiple businesses, including property, media, and Ofsted-regulated children’s care projects.
This role goes well beyond standard administration. The successful candidate will support property operations, financial and legal matters, podcast production, Ofsted compliance, safeguarding, and family administration, while remaining flexible and available outside standard office hours when required.
This role replaces an existing internal position and requires someone who can manage multiple live projects simultaneously, take ownership of tasks, and work with minimal supervision.
Key Responsibilities
Property & Financial Operations
- Chasing rent payments and managing arrears
- Preparing, issuing, and chasing invoices
- Maintaining rent schedules and financial records
- Liaising with tenants, managing agents, freeholders, and contractors
- Handling service charge and ground rent queries
- Supporting re-letting of properties when tenancies end
Tenant Sourcing & Advertising
- Advertising vacant properties across online platforms including Gumtree, SpareRoom, OpenRent, Rightmove (via agents), Zoopla, and similar portals
- Handling enquiries, coordinating viewings, and liaising with agents where required
- Supporting tenant onboarding administration
Professional Chasing & Escalation
- Proactively following up outstanding matters until resolution
- Escalating issues to managing agents, solicitors, insurers, councils, or third parties
- Ensuring progress across multiple ongoing matters
Legal, Insurance & Dispute Support
- Managing correspondence with solicitors, insurers, and claims handlers
- Supporting ongoing legal, insurance, and dispute-related matters
- Drafting professional, firm, and commercially appropriate written responses
- Organising documentation and monitoring deadlines
Podcast & Media Support
- Researching potential podcast guests
- Identifying and sourcing suitable industry and high-profile guests
- Sending invitations and managing guest communications
- Conducting background research on confirmed guests
- Preparing structured, relevant, and engaging podcast questions
- Supporting general podcast administration
Ofsted Compliance, Children’s Care & Safeguarding Support
- Supporting the setup and operation of Ofsted-registered children’s care homes
- Working in line with Ofsted regulations, SCIFF frameworks, and children’s homes guidance
- Supporting policies and procedures development and maintenance
- Assisting with safeguarding children requirements
- Supporting safer recruitment processes
- Assisting with staff recruitment administration, onboarding, and vetting
- Maintaining staff training records, compliance matrices, and audit readiness
- Supporting inspections, audits, and ongoing regulatory compliance
- Helping ensure documentation remains inspection-ready at all times
Family & Personal Administration
- Supporting administrative tasks relating to children’s student finance applications
- Assisting with education-related forms, correspondence, and deadlines
- Handling sensitive personal and family information confidentially
PA, Admin & Flexible Support
- Managing emails and correspondence
- Drafting professional letters and responses
- Booking meetings, appointments, and calls
- Maintaining organised digital filing systems
- Handling sensitive and confidential information
- Taking calls and responding to urgent matters outside standard office hours
- Completing work from home once office-based tasks are finished
Task, Workflow & Operations Management
- Managing multiple tasks across property, care, business, and media projects
- Prioritising work in a fast-moving, reactive environment
- Tracking outstanding actions and ensuring follow-ups are completed
- Acting as a central coordination point across the business
Required Skills & Experience
- Previous experience as a PA, Senior Administrator, Office Manager, or similar role
- Strong written and verbal communication skills
- Confident using Microsoft Outlook, Word, Excel, and Google Drive
- Experience chasing payments or unresolved matters
- Strong organisational and time-management skills
- Ability to work independently and exercise sound judgement
- Comfortable working flexibly and being available outside normal office hours
- Trustworthy and discreet with confidential information
Desirable (Not Essential)
- Experience in property or property management
- Experience supporting Ofsted-regulated children’s services
- Familiarity with SCIFF frameworks, safeguarding, and safer recruitment
- Experience supporting recruitment, training, and compliance documentation
- Experience advertising properties and sourcing tenants
- Experience supporting podcasts or media projects
