Transport Coordinator (6 Months Fixed-Term)
Salary: £36,096.09 to £37,394.46 (40 hours)
HTS Group is looking for an organised, proactive and customer-focused Transport Coordinator to join our Transport team. This is an important role supporting the Fleet and Workshop Manager and the wider team to ensure our transport operations run smoothly, efficiently and safely.
The successful candidate will undertake a broad range of administration and coordination duties, maintain accurate fleet and plant records and systems, and provide a courteous and efficient service to colleagues, customers, suppliers and external partners.
About the role
As Transport Coordinator, you will help plan and coordinate vehicle and plant bookings, workshop appointments, inspections, repairs, fuel administration, permits and compliance records. You will also support the management of fleet-related digital systems, supplier orders, invoicing, stock control, incident records and reporting.
You will be a key point of contact for the Transport team, delivering front-line reception duties, answering queries, liaising with internal departments and external providers, and helping to ensure vehicles and plant remain legally compliant and ready for operational use.
Key responsibilities
- Coordinate vehicle and plant bookings, workshop appointments, repairs and inspection schedules.
- Maintain accurate digital records across fleet, insurance, fuel and compliance systems.
- Support Road Fund licence renewals, parking permit applications, LOLER requirements and health and safety records.
- Set up and support users, vehicles and drivers on relevant transport systems.
- Liaise with suppliers, contractors, insurance companies and internal departments to resolve queries and support service delivery.
- Assist with stock control, supplier orders, invoice checking and reimbursement information.
- Support incident management processes, including recording details and liaising with insurers and repair subcontractors.
- Contribute to reports, projects and wider team priorities as required.
About you
We are looking for someone who is confident working in a busy environment, able to manage competing priorities and committed to providing a high-quality service. You will be organised, self-motivated and comfortable communicating with a wide range of people across the business and with external companies.
You should have GCSE-level or equivalent qualifications, a basic understanding of health and safety, and excellent IT skills, including confident use of Microsoft products. Experience in a similar role, knowledge of fleet management systems and complaint resolution skills would be desirable, but training will be provided for the right candidate.
