Patient Care Coordinator, for a rapidly growing dynamic healthcare company

RefluxUK is a highly dynamic, innovative and disruptive healthcare company. We exclusively provide services to people suffering with symptoms thought to be caused by problems with the stomach and oesophagus. There are literally millions of people who regularly experience sometimes debilitating symptoms looking for assistance with diagnosis and treatment and we aim to help them. We work with experts in their fields and offer the most UpToDate diagnostic and treatment options.
We are now looking to recruit a new member of our patient care coordinator team contact.
They will be responsible for handling patient contacts and navigating their journey through our care pathways. They will have experience of managing customers ideally but not necessarily in a healthcare environment. They may have a clinical background, but this is not essential. They may have worked in customer service and have experience of a sales environment or have an exclusively clinal background and want a change. They will have good communication skills. From whatever sector they come they will be able to demonstrate that they have offered first class customer/patient service. They will be capable of and want to become an expert in all thing’s “reflux”.
The successful candidate will work in a small team dedicated to help RefluxUK grow. They will have to be flexible, be a good team player and be willing to take responsibility. They must like to have fun. Most importantly they will show us that they are passionate to help patients.
Qualifications
- Previous Patient Care Co Ordinator experience: 1 year (Required)
- Health related sales: 1 year (Preferred)
- Previous experience with a CRM: 1 year (Required)
Key Responsibilities: Patient Coordination
· Manage incoming patient enquiries via telephone, email, and online referrals.
· Book, amend, and confirm patient appointments accurately and efficiently.
· Guide patients through the testing process and answer questions regarding procedures and appointments.
· Maintain regular communication with patients to ensure a positive experience throughout their journey.
· Liaise with consultants, secretaries, insurers, and clinical teams as required.
Clinic Preparation
· Prepare clinic lists and patient documentation ahead of appointments.
· Ensure referrals, patient records, and clinical information are complete and accurate.
· Coordinate appointment schedules to maximise clinic utilisation.
· Support clinicians by ensuring all administrative requirements are completed before clinics.
Administration
· Maintain accurate patient records within company systems.
· Process referrals and monitor patient pathways.
· Produce reports and correspondence as required.
· Ensure all documentation complies with GDPR and confidentiality requirements.
· Support general office administration and operational activities.
KPI & Performance Management
· Achieve individual and team KPIs relating to:
o Patient bookings
o Conversion of enquiries to appointments
o Referral turnaround times
o Patient communication standards
o Administrative accuracy
· Contribute to service improvements and operational efficiency.
· Monitor workload and prioritise tasks to meet service targets.
Skills & ExperienceEssential
· Previous experience in a patient coordinator, medical secretary, healthcare administration, or customer service role.
· Excellent telephone manner and communication skills.
· Strong organisational and administrative abilities.
· Ability to manage multiple tasks and priorities simultaneously.
· High attention to detail and accuracy.
· Proficiency in Microsoft Office and CRM/Patient Management Systems.
Desirable
· Experience within private healthcare.
· Understanding of medical terminology.
· Experience working with consultants, private patients, and insurance providers.
