We’re looking for an experienced Office and Team Assistant to help create a seamless, fun and engaging working environment for our mission-led team. You’ll be a central, visible part of a close-knit team of 40 people helping shape a workplace culture that’s as collaborative and values-led as the work we do. This is a fantastic opportunity to build a broad, well-rounded skill set across office management, executive support and cross-functional operations, with genuine scope to grow into a more senior role in line with company growth and performance.
This is a full-time role based in our Vauxhall, London office, with 4 days per week in-office and 1 day working remotely (as part of a rota), reflecting the hands-on, in-person nature of the role. This role reports to the EA/Office Manager. Working hours will be 8am–5pm Monday to Thursday, and 9am–1.30pm on Fridays.
You’ll be the glue that keeps our office and team running smoothly, with strong IT support skills at the heart of the role. This covers everything from troubleshooting and equipment management to diary management, travel, vendor relationships and team events, while helping create a well organised, welcoming environment for everyone. Day to day, this includes:
- Office environment & coordination: keeping the space clean, tidy and well-stocked; greeting guests; handling post, couriers, filing and plant care
- IT support: liaising with our IT provider, managing equipment (including printers), on/off-boarding employees, and troubleshooting
- Vendor & contract management: cleaning, building management and office equipment suppliers
- Health & safety: working with the EA/Office manager to coordinate activities such as PAT testing, and coordinating First Aid and Fire Wardens
- Diary management: coordinating calendars and scheduling meetings for the MD team and the wider team as needed, plus providing holiday cover for the EA/Office Manager
- Office administration: administration support for the operations team including Finance, HR, Legal and Compliance
- Meetings & events: scheduling, prep, logistics and refreshments for team meetings, plus our bi-annual team days and regular socials
- Travel: booking flights, trains, hotels, restaurants and taxis
- Sustainability: driving initiatives like recycling and sustainable sourcing
At least two years’ experience in an office support role. It is essential that you have hands-on experience providing IT support (e.g. troubleshooting, liaising with IT providers, managing equipment) and are comfortable juggling multiple tasks and deadlines.
- Hands-on experience in office and facilities management within a small, fast-growing organisation
- High IT literacy, including advanced Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience supporting company IT systems
- Strong organisational and time management skills, with a proven ability to prioritise competing demands
- A track record of supporting multiple stakeholders in a busy environment
- Confident, clear communicator, both written and verbal
- Motivated by environmental and social purpose, keen to work in a B Corp social enterprise
- Proactive and adaptable, staying composed under pressure and comfortable with ambiguity in a fast-paced, scaling environment
- A natural improver who spots issues early and resolves them with minimal supervision, while being trusted to handle confidential information with discretion
We do not expect candidates to possess all these skills and competencies, importantly what we are looking for is someone who can show how their skills and experience could be adapted to fit this profile, if/where there are gaps.
