We are seeking a highly organised, proactive and customer-focused Property Management & Lettings Administrator to join our busy team. This varied role combines property management, maintenance coordination, lettings administration and front office support. We would consider part time or full time options.
Main Purpose of the Role
To provide comprehensive administrative and operational support across Property Management and Lettings, ensuring the smooth day-to-day running of the office while delivering outstanding service to landlords, tenants, contractors and clients.
Key Responsibilities
Office & Administrative Support
- Be the first point of contact for office visitors, telephone and email enquiries.
- Manage office inboxes and diary appointments.
- Book viewings, keys, inspections and contractor appointments.
- Maintain the office key register and coordinate contractor key collections.
- Order EPCs, boards and office supplies.
- Administer annual rent review including the drawing up of associated paperwork, section notices and supporting documentation
- Assist with window displays, marketing materials and general office presentation.
- Process invoices, filing, archiving and general office administration.
- Support the Sales, Lettings and Property Management teams as required.
Property Management & Maintenance
- Act as the first point of contact for tenants reporting maintenance concerns.
- Liaise with landlords and contractors to arrange repairs and maintenance works.
- Arrange contractor access with tenants and oversee repair progress through to completion.
- Arrange and carry out property inspections and management visits.
- Report inspection findings to landlords and coordinate remedial works.
- Maintain accurate records within Reapit/RPS, Fixflo,
- Assist with out-of-hours maintenance coordination when required.
Lettings Support
- Register lettings enquiries and arrange viewings for rental properties
- Provide administrative support to the lettings negotiator and tenancy coordinator, ensuring referencing, compliance documents, inventories, keys and monies are completed ahead of move-in.
- Coordinate utility transfers and tenancy notifications.
- Carry out Right to Rent checks
- Prepare welcome packs and move-in documentation.
- Arrange inventories and management visits.
- Ensure landlords and tenants are regularly updated throughout the lettings process.
Skills & Experience Required
- Previous administration experience essential.
- Experience within property management, lettings or estate agency preferred.
- Excellent organisational and time management skills.
- Strong communication and customer service skills.
- Ability to multitask and prioritise effectively in a fast-paced environment.
- Confident telephone manner and professional presentation.
- Strong attention to detail.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office including Word and Excel.
- Experience using estate agency software such as Reapit/RPS, Goodlord or Fixflo desirable.

Pay: £26,000.00-£30,000.00 per year
