Full job description

We are seeking an organised, proactive and customer-focused Graduate Studies Officer to join our Faculty Office. This is a varied and rewarding role, providing expert administrative support throughout the graduate student journey—from admissions and enrolment to examinations, funding and graduation.

Working closely with the Director of Graduate Studies (DGS) , academic staff and professional services colleagues, you will play a key role in ensuring graduate programmes are delivered efficiently, in line with University regulations, while providing an outstanding experience for prospective and current students.

About the role

As Graduate Studies Officer, you will be responsible for managing a broad portfolio of graduate administration, including:

Coordinating the graduate admissions process, managing applications and supporting prospective students throughout their application journey.
Acting as the first point of contact for graduate student enquiries, providing expert advice to students, academics and administrative colleagues.
Supporting student visa processes, including Confirmation of Acceptance for Studies (CAS) applications.
Servicing Graduate Studies and Graduate Joint Consultative Committees by preparing agendas, producing minutes and ensuring actions are progressed.
Managing on-course administration, including student transfers, confirmations, extensions, suspensions and examiner appointments.
Supporting complex student casework and liaising with central University offices where exceptions to regulations arise.
Coordinating examination processes, including examiner appointments, exam board administration, viva voce examinations and recording final results.
Assisting with graduate funding competitions, travel and language grants, and scholarship administration.
Coordinating graduate induction, professional development events and other activities that enhance the student experience.
Maintaining accurate graduate information across handbooks, websites, Canvas and SharePoint.
Producing reports and statistical information to support decision-making and continuous improvement.

About you

You will be a highly organised administrator who enjoys working in a fast-paced environment with a diverse range of stakeholders. You will be confident interpreting regulations, solving problems and managing multiple priorities while maintaining exceptional attention to detail.

You will bring:

Significant administrative experience within higher education or a similarly complex organisation.
Excellent organisational and time management skills, with the ability to manage competing priorities and meet demanding deadlines.
Strong communication and interpersonal skills, with the confidence to provide advice and guidance to students, academics and colleagues.
Excellent IT skills, including Microsoft Word, Excel and Outlook, together with experience of databases or student records systems.
