The Role:

Working closely with the Senior Project Planner, Project Manager and Operations Administrator Manager, the Project Planner will provide valuable support to the planning and delivery of multiple projects across the globe. Responsibilities will include but not be limited to:

Responsible for planning, subcontractor tender process, procurement and supporting the PM in completion / handover of the projects in line with the projects planning handbook.
Liaise with suppliers / subcontractors and build relationships in order to get the pricing and service to deliver in a timely / cost effective manner.
Build project packs submitted to orders and issue to the Operations Manager for approval, update project tracker, update order log and enter the project onto the intercompany system.
Highlight any risks to the margin, completion dates or breaches in policy that may affect the business ability to deliver projects safely and, in a cost, effective manner.
Responsible for the set up and completing the handover from Sales to projects and Projects to service with the assistance from the PM, sales and service team. Ensuring all pertinent documentation has been completed and passed to the relevant departments.
Oversea the regular (depending on project timeframe) meetings with all PM’s and planners on active jobs.
Ensure all project variations have been sent to orders or noted in meeting minutes and/or accounted for on cost analysis.
Update live project key dates and project tick lists.
Run / update cost analysis monthly, ensuring this is communicated with the PM to forecast any outstanding figures that may affect the margin.
Highlight any potential erosion to margins and escalate these to the Operations team when necessary.
Build subcontractor contracts and submit for approval.
Book and track all training standards are complied with, visas and residencies are kept up to date in accordance with country compliance, with the assistance of HR team if applicable.
Assist the PMs complete their monthly invoice forecast.
Assist the finance team with the aged debtor’s reports by reporting delays on payments to the PM on active job’s that may need to delay works / reach out directly to the site contact to chase payment.

Skills and experience required:

Proven work experience as an Administrator or similar role, ideally within an engineering or construction environment however this is not essential.
Very strong organisational skills, including multitasking, time and diary management.
Highly organised with strong attention to detail.
Experience working with MS Projects would be beneficial.
IT literacy, particularly MS Office and CRM systems. Experience working with MS Projects would be beneficial.
Intermediate / Advanced Excel user
Have an in-depth knowledge of time and cost implications along with all aspects of how the business processes need to run.
Ability to focus on results, both financial and timescales
