Full job description

We are looking for an organised, confident and proactive Customer & Appointment Coordinator to join our team in Leeds.

This is a fast-paced coordination role where you will help ensure our customer appointments run smoothly from booking through to follow-up. You will communicate with customers, coordinate appointments, maintain accurate records and provide regular updates to management.

Key Responsibilities

Coordinate and monitor customer appointments.
Confirm upcoming appointments and follow up cancellations or reschedules.
Speak with customers before and after appointments.
Maintain accurate CRM records and internal trackers.
Participate in organised appointment-booking sessions (Book-a-thons) to support weekly appointment targets.
Update sales and appointment information accurately.
Prepare simple reports for management.
Identify recurring issues and communicate them to the relevant manager.
Support the sales team with appointment coordination and general administration.
Work closely with other departments to ensure information is passed on correctly.
Assist with weekly office activities, presentations and team support where required.

What we're looking for

Strong organisation and attention to detail.
Confident and professional telephone manner.
Good written and verbal communication skills.
Comfortable using Excel/Google Sheets and CRM systems.
Able to work with targets, deadlines and KPIs.
Proactive and willing to take ownership of responsibilities.
Reliable, positive and able to work independently.
Comfortable working in a busy, fast-moving environment.

Previous experience in administration, appointment coordination, customer service, bookings or a similar role would be beneficial.

This is a full-time hybrid position based in Leeds, with regular attendance at our office required.

Pay: £25,420.00-£26,436.00 per year
