We are looking for an experienced IFA Administrator/ Trainee Paraplanner to join our team and work closely with the Managing Director and a second adviser. This is a senior administration role and the primary focus is end-to-end client and investment administration, carried out to a high standard with minimal supervision.
You will be supported by a junior administrator and will work alongside a paraplanner. Over time, and for the right candidate, there is scope to develop into a paraplanning function, though this is not a requirement of the role and a long-term career administrator pathway is equally valued, however we happy to develop into a paraplanner.
Key Responsibilities
- End-to-end client administration: new business, onboarding, annual reviews, and ongoing client servicing.
- Processing trades, withdrawals, and investment instructions on platforms including AJ Bell, Aviva, and Transact.
- Overseeing Letters of Authority (LOAs) and managing the transfer process.
- Maintaining and updating client records accurately within Plannr CRM.
- Coordinating and preparing paperwork for annual review meetings.
- Liaising directly with clients, providers, and platforms in a professional and timely manner.
- Supporting the rebalancing of model portfolios following annual reviews or client investment/withdrawal events.
- General office administration and contributing to the smooth running of the business.
- Over time: assisting with preparation and drafting of annual review letters, including basic recommendations such as adjusting withdrawals or investing surplus cash, and preparing or updating client financial plans in Voyant.
What We Are Looking For
The ideal candidate will have:
- Approximately two years’ experience in an IFA or financial planning environment.
- Solid understanding of the IFA advice process, including platforms, product wrappers (ISAs, pensions, bonds), and the administration that supports them.
- Experience with or working knowledge of AJ Bell, Aviva, and/or Transact platforms (desirable, not essential).
- Familiarity with Plannr or a comparable CRM system and experience with Voyant cashflow modelling is an advantage.
- Strong attention to detail, the ability to manage competing priorities, and a proactive approach to getting things done.
- A professional and personable manner when dealing with clients and colleagues.
