Finnmark Limited is a UK-based bespoke wellness company specialising in the design, manufacture, and installation of high-end saunas, steam rooms, and spa environments. Operating across Bespoke Projects, E-Commerce and Modular divisions, we work with a wide range of clients — from private residences to elite sporting venues. As we continue to grow, we are looking for a motivated and organised individual to join our team and support both the day-to-day running of the office and our developing HR function.
This is a varied, hands-on role sitting at the heart of the business. The Office Admin & HR Assistant will provide administrative support across the organisation while taking ownership of key HR processes — from onboarding and record-keeping to supporting employee relations and policy compliance. The right candidate will be proactive, discreet, and comfortable working in a fast-paced SME environment.
Duties
- Office Administration
- Manage day-to-day office operations including supplies, facilities liaison, and general upkeep of the working environment.
- Act as the first point of contact for visitors, directing queries to the appropriate person.
- Maintain and organise company records, filing systems, and shared drives to ensure information is accurate and accessible.
- Coordinate meeting schedules, room and accommodation bookings, and travel arrangements for the senior leadership team.
- Support document management across departments — formatting, filing, and distributing correspondence and reports.
- Assist with procurement administration including raising purchase orders, tracking deliveries, and liaising with suppliers.
- Provide ad hoc administrative support to Directors and Managers across all divisions as required.
HR Support
- Maintain accurate and up-to-date employee records across the HR system (PeopleCloud), ensuring GDPR compliance at all times.
- Coordinate the end-to-end onboarding process for new starters, including right-to-work checks, contract issuing, and induction scheduling.
- Support the offboarding process, including exit administration and return of company property.
- Assist with the recruitment process — advertising vacancies, managing applications, scheduling interviews, and communicating with candidates.
- Track and administer absence, holiday, and leave records, flagging patterns or concerns to management.
- Support the administration of performance review cycles, probationary period tracking, and action plans.
- Assist in drafting and maintaining HR policies, procedures, and documentation in line with current employment legislation.
- Act as a liaison point with the company's external employment law consultants (Avensure) for routine queries and documentation.
- Support employee relations processes by preparing correspondence and maintaining accurate case notes and records.
- Assist with the coordination of staff training, certifications, and compliance records.
Experience
Essential
- Previous experience in an office administration role.
- Strong written and verbal communication skills with a professional manner.
- High level of discretion and confidentiality when handling sensitive information.
- Well-organised with strong attention to detail and the ability to manage competing priorities.
- Competent user of Microsoft Office 365 (Word, Excel, Outlook) and general office technology.
- Ability to work independently and use initiative within a small, busy team.
- A positive, can-do attitude and willingness to take on varied tasks.
Desirable
- Experience in an HR administration or HR assistant role.
- Familiarity with HR systems or databases (experience with PeopleCloud an advantage).
- Knowledge of basic UK employment law and HR best practice.
- CIPD Level 3 qualification or equivalent (or working towards).
- Experience working in a trade, construction, or manufacturing SME environment.
- Experience using project management or operational tools such as monday.com.

Pay: £27,000.00-£29,000.00 per year
