Are you highly organised, detail-driven, and confident keeping multiple moving parts under control? We are looking for a proactive Fleet Compliance Administrator to play a key role in keeping our fleet compliant, roadworthy, efficient, and fully operational.
This is a fast-paced, varied role where no two days are the same. You will support the smooth running of our fleet maintenance and compliance function, working closely with drivers, transport teams, workshop colleagues, suppliers, and management to ensure vehicles stay on the road safely and legally.

As Fleet Compliance Administrator, you will be responsible for coordinating maintenance administration, managing compliance documentation, supporting audits, maintaining accurate records, and using fleet data to help reduce downtime and improve performance.
You will be a key point of contact for maintenance-related queries and will help ensure that inspections, MOTs, servicing, repairs, defects, purchase orders, invoices, and fleet records are completed accurately and on time.
You will coordinate and schedule routine maintenance, inspections, MOTs, repairs, and servicing, ensuring all vehicles remain compliant with regulatory and company standards. You will monitor service intervals, track outstanding work orders, and liaise with drivers, transport managers, technicians, and suppliers to minimise vehicle downtime.
A major part of the role will involve maintaining accurate compliance and maintenance records. You will update fleet management systems, including DSC or equivalent systems, manage service logs, maintain compliance documentation, and ensure data across fleet maintenance databases is accurate and audit-ready.
You will support both internal and external audits by ensuring documentation is complete, accessible, and up to date. You will also monitor defect reporting processes, follow up on corrective actions, and help ensure all vehicle maintenance activity is completed in line with legal, industry, and company requirements.
The role also includes procurement and financial administration. You will raise purchase orders, process invoices, support cost tracking, liaise with suppliers and external service providers, and assist with inventory management and stock control within the VMU.
Using maintenance and compliance data, you will help identify trends, recurring issues, cost-saving opportunities, and ways to improve fleet performance. You will prepare regular reports covering maintenance activity, compliance performance, expenditure, and downtime.
You will also provide professional administrative support to the maintenance team, workshop, VMU, drivers, transport teams, and wider business. This will include supporting technician scheduling, workload coordination, query resolution, and general day-to-day administration.
We are looking for someone with strong organisational skills, excellent attention to detail, and the ability to manage competing priorities in a busy operational environment.
You will be confident working with systems, records, reports, purchase orders, invoices, and compliance documentation. You should be comfortable communicating with a range of stakeholders, from drivers and technicians to transport managers and suppliers.
The ideal candidate will bring a practical, solutions-focused mindset and take pride in keeping processes accurate, efficient, and compliant.
Experience in fleet administration, transport, logistics, vehicle maintenance, compliance, workshop administration, or a similar operational support role would be highly advantageous.
Experience Requirements:
- Minimum 2 years’ experience in an administrative role, ideally within fleet, logistics, transport, or vehicle maintenance.
- Working knowledge of vehicle maintenance processes and terminology.
- Understanding of UK fleet compliance and regulatory requirements (DVSA knowledge desirable).
- Experience using fleet management systems (DSC experience advantageous).
- Strong IT skills, including Microsoft Excel and data reporting.
- Excellent organisational and multitasking abilities.
- High attention to detail and accuracy.
- Strong communication and interpersonal skills.
- A proactive and methodical approach to work.
- High levels of integrity and professionalism.
