We are looking for a highly organised and reliable Seasonal Administrative Assistant to support the daily operations of our busy and expanding tour company during the tourism season.
This role involves assisting with customer enquiries, managing tour bookings, maintaining our CRM system, and supporting the administration of day-to-day tourism operations during a particularly busy period for the business.
This is a hybrid role combining remote administrative work with some in-person operational support and team coordination as required.
Our company has built a strong reputation for delivering high-quality tour experiences, and as seasonal demand increases we are looking to expand our team with additional administrative support.
This position would suit someone who enjoys organisation, communicating with customers, and helping ensure tours run smoothly behind the scenes. It is ideal for someone seeking flexible part-time work within the travel and tourism industry.
Key Responsibilities
- Responding to customer enquiries via email and phone in a friendly and professional manner
- Assisting with tour bookings and reservations, ensuring customer details are recorded accurately
- Managing and updating the booking diary and tour schedule
- Maintaining and updating customer records in the CRM system
- Preparing and sending booking confirmations, itineraries, and customer communications
- Performing accurate data entry using Microsoft Office and Google Workspace
- Assisting with basic bookkeeping and financial records using QuickBooks or similar software
- Organising digital files, tour documentation, and operational records
- Supporting the team with general administrative tasks including preparing documents and reports
Essential Skills
- Strong organisation and time management skills
- Excellent communication skills and professional phone manner
- Confident using email, calendars, and spreadsheets
- Comfortable speaking with customers on the phone and responding to enquiries
- Ability to organise bookings, schedules, and customer details accurately
Desirable Experience
- Previous administrative or office experience
- Experience handling customer enquiries or bookings
- Familiarity with CRM systems or booking platforms
- Experience with Xero, QuickBooks, or similar accounting software
Training can be provided for the right candidate.
Contract & Working Hours
- Seasonal part-time position
- Hybrid working arrangement
- 16 hours per week
- Hours will be worked flexibly across weekdays, evenings, and weekends depending on business requirements
- Additional hours may be available during peak tourism periods
- Flexibility will be required during busy periods and event schedules
