About the Role
Cawdor Estate is seeking an organised, professional, and proactive Office Administrator to join our Estate Office team. Working as part of an experienced and supportive team, you will provide administrative support across a diverse range of estate activities, including property management, hospitality operations, and wider estate business functions.
This is an excellent opportunity for an experienced administrator who enjoys working in a varied role, managing multiple priorities, and contributing to the smooth and efficient operation of a busy estate office.
Key Responsibilities
- Providing day-to-day administrative support to the Estate Office team.
- Acting as a first point of contact for telephone, email, and visitor enquiries, ensuring a professional and welcoming service.
- Managing correspondence, filing systems, and office records.
- Assisting with property administration, including tenancy documentation, maintenance records, and contractor communications.
- Supporting hospitality and estate operations through booking administration, customer communications, and record keeping.
- Preparing documents, reports, presentations, and correspondence.
- Maintaining databases and ensuring accurate record management.
- Assisting with invoicing, purchase orders, and general financial administration as required.
- Coordinating meetings, appointments, and diary management.
- Supporting wider estate projects and activities as required.
- Ensuring confidentiality and compliance with data protection requirements.
Person Specification
Essential Skills and Experience
- Proven experience in an administrative or office support role.
- Excellent organisational skills with strong attention to detail.
- Ability to manage multiple tasks and prioritise workload effectively.
- Professional and confident telephone manner.
- Strong written and verbal communication skills.
- Excellent IT skills, including proficiency in Microsoft Office applications (Word, Excel, Outlook and PowerPoint).
- Ability to work both independently and collaboratively as part of a team.
- A proactive, flexible and positive approach to work.
Desirable Skills and Experience
- Previous experience within a rural estate, property, hospitality or related business environment.
- Experience of property administration or property management support.
- Familiarity with accounting, booking or property management software.
- An understanding of rural businesses and estate operations.
