My Life is a mental health charity based in Suffolk, initially established in 2016 as Student Life. The charity is a proud Ban The Box employer.
Unlock My Life is our unique, peer-led mental health and wellbeing project delivered in prisons across the UK. We provide education and encouragement for prisoners to discuss mental health and how it impacts them, and support one another through their sentences with our Mental Health Ambassador programme. Main Purpose of the Job
The Operations Assistant is responsible for providing administrative support to the My Life team, primarily focusing on the Unlock My Life (UML) project.
This role helps coordinate project activities, maintain project documentation, track progress using our bespoke platforms and ensure effective communication across the team. The Project Administrator plays a key role in keeping the project, its activities and its outcomes organised and on schedule.
The available position is for 12 hours per week, including working at least half of these from the central Ipswich office each Monday. The remaining hours and how they can be worked are to be discussed at interview stage.
Key Responsibilities
· Ensure all information collected during prison visits is accurately recorded and entered in the correct locations.
· Manage the Email a Prisoner account and communication between UML and the Mental Health Ambassadors (MHAs).
· Pack and distribute project merchandise to prisons following a visit.
· Pack and distribute project merchandise to Project Leads when required.
· Maintain accurate stock records and update stock management systems as required.
· Liaise with prison staff contacts to arrange visits and organise security approvals
· Arrange transport and accommodation for Project Leads when required, sourcing the most cost-effective options that meet operational needs and budget requirements.
· Other administrative tasks as required by the My Life team.
About You:
We’re looking for someone with excellent attention to detail and the ability to work to a pre-determined timeline. You should be open-minded, proactive, and genuinely passionate about our mission and the people we support.
The ideal person has:
· Strong administrative and organisational skills.
· Excellent written and verbal communication skills.
· Ability to manage multiple priorities and meet deadlines.
· High attention to detail and accuracy.
· Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). Experience using project management tools such as Monday.com is a bonus, but full training will be given.
· The ability to work collaboratively within a team while also being self-motivated when working remotely.
