Job Purpose:

Behind every successful service operation is a well-organised stores function — and we are now looking for a proactive and dependable Stores Controller to join our Service Department at our Irvine Head Office.

The role:
Reporting to the Engineering Manager, you will take full responsibility for managing incoming and outgoing goods, maintaining stock records, fulfilling service orders, overseeing hire/loan assets, and identifying ways to optimise our warehouse and inventory functions. You’ll also support procurement and technical aspects associated with the role , and ideally contribute to design layouts through CAD software.
You will play an important part in ensuring our engineers have the right stock in the right place at the right time and your technical aptitude, excellent IT and organisational skills, and operational mindset will enhance the efficiency and service delivery of our internal processes.
Key Responsibilities:
Inventory Management & Stores Operations
- Take full ownership of all service stock, ensuring accurate storage, labelling, and location tracking.
- Monitor stock usage, report on aging/dead stock, and drive improvements in stock turnover.
- Receive and process incoming goods, ensuring they are checked, stored, and recorded accurately.
- Maintain stock control systems (including Protean) and ensure daily updates are actioned.
Field & Service Support
- Replenish and monitor engineer van stocks and assist with parts identification.
- Fulfil internal and external Service Sales Orders efficiently and accurately.
- Support Mattress Workshop and Operation, dealing with mattress and equipment hire operations, including the tracking of hire durations and ensuring appropriate invoicing or returns.
- Collaborate with field engineers and procurement team to ensure follow-up work is effectively planned and resourced.
Operational Leadership & Teamwork
- Support and develop warehouse processes and contribute to the ongoing improvement of our service operations.
- Use initiative to drive stock process efficiencies and space management within the stores area.
- Provide support across departments including the workshop, delivery team, and office colleagues as required.
- Act as a leader in safety and organisation, maintaining a clean, efficient, and compliant work environment.
Technical & Design Contribution
- Assist with technical documentation and contribute to technical planning.
- Use CAD software (where applicable) to help create or edit layout and equipment drawings in support of the technical service team.
Skills, Experience & Qualifications:
- Experience in managing a parts or inventory department (essential).
- Proven people and organisational leadership skills.
- Strong technical mindset and ability to understand mechanical or technical systems & systems.
- Solid IT and administrative skills—comfortable using systems like ERP/CRM platforms.
- Previous experience working to KPIs and reporting on operational performance.
- Strong communication skills and ability to collaborate across departments.
- Experience using CAD software is desirable but not essential.
- Positive attitude, hands-on approach, and a commitment to continuous improvement.
Requirements:
- Full UK driving licence.
- Willingness to travel and stay overnight when required (expenses covered).
- Good level of physical fitness.
- Flexible to work overtime when needed—core week is 40 hours.
- Professional presentation and a customer-first approach.
- A strong sense of responsibility and pride in delivering high standards.
Performance Objectives / KPIs:
- Weekly tracking and reporting of hire/loan stock.
- Monthly invoicing of hire assets and returns reconciliation.
- Timely dispatch of all Service Sales Orders.
- Daily clearing and processing of goods received.
- Workshop assistance and planning support.
- Support on parts identification and job allocation.
- Ongoing improvement of warehouse layout and space usage.
- Contribution to technical CAD work, as the role evolves.
