We're now looking for an Office Manager & Executive Assistant to join our Jersey Head Office. This is a varied and highly visible role that combines executive support, office management and front-of-house responsibilities, making it ideal for someone who enjoys being at the centre of a busy and fast-paced business.
Supporting the Managing Director and wider leadership team, you'll play a key role in ensuring the smooth day-to-day running of the office whilst helping create a professional and welcoming environment for employees, visitors and clients alike.
About the role
Reporting to the Managing Director, you'll be responsible for managing executive diaries, coordinating office operations, overseeing reception activities and supporting a wide range of business and employee initiatives. No two days will look the same, and you'll be trusted to take ownership of your workload whilst proactively identifying ways to improve processes and support the wider team.
What you'll do
Provide Executive Assistant support to the Managing Director and Directors, including diary management, travel arrangements and meeting coordination.
Act as a key point of contact for internal and external stakeholders.
Oversee the day-to-day running of the Jersey Head Office.
Manage and support the Receptionist/Admin Assistant.
Provide reception cover when required, ensuring a professional and welcoming experience for visitors.
Coordinate office facilities, suppliers, maintenance contracts and service providers.
Manage office budgets, expenses, stationery, supplies and travel reporting.
Support employee engagement activities, team-building events and company celebrations.
Coordinate staff recognition initiatives, gifts and internal events.
Assist with health and safety administration alongside the Health & Safety Manager.
Support training enrolments, professional subscriptions and general office administration.
Maintain accurate office records, documentation and filing systems.
Support wider business initiatives, community projects and ad hoc administrative requirements as needed.
What you'll bring
Previous experience as an Office Manager, Executive Assistant, Senior Administrator or similar role.
Experience supporting senior stakeholders and managing busy diaries.
Excellent organisational and time management skills.
Strong communication and interpersonal skills.
A proactive approach with the ability to anticipate needs and solve problems.
Excellent Microsoft Office skills, particularly Word, Excel and Outlook.
A professional, approachable and customer-focused attitude.
Ability to manage multiple priorities whilst maintaining exceptional attention to detail.
First Aid qualification would be advantageous.
