Receptionist / Administrator – Musselburgh

Location: Musselburgh (On-site)
Hours: Monday to Friday, 8:30am – 5:00pm
Salary: £24,420 – £31,500 (depending on experience)
Job Type: Full-time

We are seeking an organised, friendly, and customer-focused Receptionist / Administrator to join our Musselburgh branch. This full-time position is ideal for someone with previous reception or administrative experience within the motor trade, who enjoys providing excellent customer service in a busy environment.

Following your initial training, you will manage front-of-house responsibilities, ensuring customers receive a welcoming and professional experience from the moment they arrive. You will support the service and repair process by coordinating administration, creating job cards and invoices, ordering parts when required, and keeping customers informed of progress, costs, and timescales.

Key Responsibilities:

Welcome customers and visitors while providing a professional first impression.
Answer incoming telephone calls confidently and courteously.
Manage the service diary alongside the Workshop Supervisor.
Prepare job sheets, invoices, and estimates using garage management software.
Order parts and communicate updates to customers throughout the repair process.
Carry out general administrative duties, including managing emails and processing third-party maintenance estimates.

What We're Looking For:

Previous experience in a receptionist or administrative role in the motor trade.
Excellent communication and customer service skills.
Strong organisational skills with the ability to manage multiple priorities.
High attention to detail and a proactive, positive attitude.
Good working knowledge of Microsoft Office, including Word, Outlook, and Excel.
Experience with garage management systems or knowledge of the motor trade is essential.
Flexibility to occasionally work at other branch locations as the business continues to grow.

Working Hours:
Monday to Friday, 8:30am – 5:00pm, with a 30-minute lunch break.

Pay: £25,420.00-£31,500.00 per year
