We are currently seeking a highly experienced, meticulous and resourceful Personal Assistant Coordinator

- As a trusted partner to our General Manager, you'll provide seamless executive support, ensuring their time is managed effectively and their priorities are always supported with professionalism, discretion and attention to detail
- Expert in diary management, you'll coordinate complex schedules, meetings and appointments, always thinking several steps ahead and proactively anticipating requirements
- You'll prepare agendas, presentations, reports and briefing materials, ensuring our General Manager is fully prepared for meetings, events and key business activities
- Managing correspondence, emails and confidential communications, you'll act as a key point of contact, ensuring information is handled with the utmost professionalism and discretion
- You'll coordinate senior leadership meetings, taking ownership of agendas, minutes and action tracking, ensuring commitments are delivered and deadlines are met
- Compiling and maintaining the weekly VIP arrival list, you'll work closely with operational teams to ensure every guest, member and visitor receives a personalised and exceptional experience.
- As the central coordinator for administrative functions and operational processes across Gleneagles Townhouse, you'll play a vital role in ensuring the business runs smoothly and efficiently
- You'll produce, manage and maintain senior management rotas and duty schedules, ensuring appropriate leadership coverage is always in place
- Working closely with Heads of Department, you'll support rota planning, reporting, project administration and the coordination of business activities across the Townhouse
- You'll act as a key communication hub, proactively sharing information, schedules, operational updates and important business priorities across departments
- Supporting strategic projects and initiatives, you'll monitor progress, track actions and help ensure stakeholders remain accountable for delivery
- You'll assist in coordinating internal events, meetings, visits and business activities, ensuring every detail is planned and executed to the highest standard
- Through exceptional organisation and attention to detail, you'll help maintain accurate records, documentation and reporting that support informed decision-making across the business.
- Interacting with our guests and members, you'll always be warm, professional and approachable, doing everything you can to exceed expectations and contribute to the luxury experience for which Gleneagles Townhouse is renowned.
- You'll work collaboratively across all departments, building strong relationships and supporting colleagues to deliver seamless service and operational excellence
- A natural ‘organiser’, you take great pride in supporting others and ensure flawless execution of administrative activities, with high attention to detail and process; you also possess a high level of integrity and discretion especially when handling confidential information
- You enjoy working in a fast-paced environment that demands a strong sense of urgency, decision making, and the ability to work independently with confidence and authority
- Organising and planning how to smartly divide time between specific activities is second nature, for both yourself and the Executive you support
- Curious and probing, getting to discover the business inside out will be one of your favourite points on the day to day agenda
- Your strong project management skills and ability to offer suggestions and improvements to process and work efficiently with all personality types are key skills; you’re also a great knowledge of Microsoft Office (Excel, Power Point, Word), as well as Outlook and other similar systems

- About gratuities service charge:
