Office Coordinator

The Team & Focus of the Role

We’re on the lookout for an Office Coordinator to come and join us, based at our Estates Office in Ashby de la Zouch.

This role will be pivotal in ensuring the office is running smoothly day to day, making sure meeting rooms and the office spaces are presentable and properly equipped, ordering and maintaining office supplies, and supporting with office health and safety tasks.

If you’re someone who enjoys all aspects of coordination, has a high attention to detail and enjoys working in adaptable situations then we’d love to hear from you.

This is a full-time (37.5 hours), permanent role, based at our Estates Office in Ashby. Due to the nature of the position, this is an office-based role.

In return, beyond your base salary you will be included in:

A discretionary bonus scheme

Duties will include:

Setting up meeting rooms for external & internal events
Arranging catering for any meetings/events as required
Ensuring the office and external meeting spaces are presentable and have all the equipment required
Ordering and maintaining supplies (both stationary and refreshments if necessary)
Assisting as required on reception to cover lunch periods and/or holidays
Processing supplier invoices for payment
Supporting Internal Communications by sending office invites, emails and office updates
Assisting with Health & Safety office matters including taking the lead in fire drills/emergencies, conducting weekly fire alarm tests, routine emergency lighting tests, maintaining the fire log book and monitoring housekeeping in the office and store rooms as part of the fire prevention programme
Liaising with the Facilities team to report any office defects
Support with onboarding of new starters
Coordination with our other Ashby office where needed on events, meeting spaces, etc.

The successful candidate will have...

Previous office coordination experience within a professional services environment (preferred)
Excellent communication skills
Attention to detail
Ability to remain resilient and adaptable in pressured situations
