As our business continues to grow, we are looking for a motivated and organised Accounts Assistant / Customer Services Administrator to join our team in Cumbernauld.
Role Overview
This is a varied role combining finance administration, customer service and general office support. The successful candidate will play a key role in ensuring customers receive excellent service while supporting the finance team with day-to-day accounting activities.
The position would suit someone who is highly organised, enjoys dealing with customers and has strong attention to detail.
Key Responsibilities
Accounts Duties
- Raising and processing sales invoices.
- Posting supplier invoices and credit notes.
- Reconciling supplier statements.
- Processing customer receipts and payments.
- Assisting with credit control and chasing overdue accounts.
- Managing purchase orders and matching invoices.
- Maintaining accurate accounting records.
- Assisting with month-end reporting and account reconciliations.
- Supporting the preparation of management accounts.
- Maintaining customer and supplier account information.
- General finance administration duties.
Customer Service Duties
- Acting as the first point of contact for customer enquiries.
- Answering telephone calls and responding to emails.
- Logging service calls and coordinating engineer visits.
- Providing customers with updates on service requests and orders.
- Assisting with spare parts enquiries and quotations.
- Processing customer orders accurately and efficiently.
- Maintaining customer records within company systems.
- Liaising with engineers, suppliers and customers to resolve issues promptly.
- Ensuring a professional and positive customer experience at all times.
Administrative Duties
- General office administration and filing.
- Managing incoming and outgoing correspondence.
- Supporting sales and operations teams when required.
- Maintaining accurate electronic and paper records.
- Assisting with ad hoc projects and business administration tasks.
Skills & Experience Required
Essential
- Previous experience in an accounts, administration or customer service role.
- Excellent communication skills, both written and verbal.
- Strong organisational and time management skills.
- Good working knowledge of Microsoft Office, particularly Excel.
- High level of accuracy and attention to detail.
- Ability to work independently and as part of a team.
- Professional and friendly telephone manner.
Desirable
- Experience using Sage, Xero or similar accounting software.
- Experience within a manufacturing, engineering or service business.
- Understanding of purchase ledger, sales ledger and credit control.
- Experience coordinating field service engineers.
