We are looking for Referral Coordinators to join our team at New Hall Surgery on a part-time basis (22.5 hours per week working on a Monday, Thursday and Friday). This is much more than a traditional administration role. You will be a vital member of the team, ensuring patient referrals to secondary care and external healthcare providers are processed accurately, efficiently, and within required timescales.
Using a variety of referral systems, portals, and clinical software, you will help patients access the care they need while supporting clinicians and practice teams across the division.

Main Duties of the Job
This is a dynamic and varied referral administration role requiring excellent organisational skills, attention to detail, and the ability to manage multiple priorities. You will play a key role in ensuring referrals are processed accurately and efficiently, supporting patients to access secondary care and specialist services in a timely manner.
You will work collaboratively with clinicians, practice teams, and external healthcare providers while making full use of referral management systems and digital technologies.
Key responsibilities include:
- Processing patient referrals to secondary care and external healthcare providers accurately and within agreed timescales
- Managing referral workflows, prioritising urgent requests, and ensuring all supporting information is complete
- Using referral portals, clinical systems, and digital technologies to support efficient referral management
- Providing referral support across practices within the division as required
- Maintaining accurate records and ensuring compliance with organisational procedures and NHS requirements
- Supporting clinicians and colleagues with referral-related queries and administrative tasks
- Contributing to service improvements through innovation, flexibility, and effective problem-solving

Job Description
You should refer to the supporting documents for a full Job Description outlining the core responsibilities of the role.
· To provide efficient referral co-ordination for GPs and associated health professionals as required.
· To assist clinical staff by making appropriate telephone and electronic referrals.
· To assist clinical staff by obtaining information about the progress status of referrals when requested.
· To expedite appointments and tests as required.
· To respond to GP tasks and liaise with hospitals, outside agencies and laboratories as needed.
· To type and proof-read letters, provided by clinicians, for quality assurance purposes.
· To manage Practices’ e-referrals system and make appointments, bookings and admissions as required.
· To work collaboratively with clinicians to ensure referrals are dealt with in a timely manner.
· To receive incoming, and initiate outgoing, telephone calls in order to facilitate timely and appropriate communications with others, taking and passing on messages and dealing with queries
· To arrange patient transport/ambulance where necessary.
· To liaise with patients, checking details, if necessary, explaining and helping them to understand what the clinician has asked of them.
· To monitor progress of 2-week wait referrals.
· To maintain records in the clinical system in an accurate and secure manner.
· To assist the central Clinical Support team with all clerical and administrative duties as required.
· To send and receive faxes and ensure distributed accordingly.
· To maintain address book on the computer system.
· To establish and maintain filing and administrative systems, so that written, or computer information is easily accessible and secure.
· To check and respond regularly to tasks, emails and other notifications.
· To undertake general administration duties, filing, photocopying and other PA work at clinicians’ request.
· To assist with the gathering of statistics and information when required.
· To attend meetings as required and participate in PLT sessions.
· To participate in the induction and training of new team members to ensure they meet their objectives.
· To ensure learning from individually attended training sessions is cascaded to all members of the team.
· To provide cover for members of the central Clinical Support team during periods of sickness and annual leave.
· To undertake any other duties commensurate with the scope of the role and within own skill set as requested.
