We are currently looking for a highly organised and reliable individual to join our team to take on the business’ administrative and Reception-based functions, allowing our physiotherapists to focus fully on their clinical work.

18 hours per week (three day split) with the future potential to increase hours in line with the requirements of the business and successful candidate.
£27,000-£29,000 pro-rata, dependant on qualification and experience.

Job Description
Referral & Diary Administration
● Manage patient referrals from initial point of contact through to appointment bookings; including management of waiting list, allocation to therapist, and diary management
Communications
● Act as first point of contact at Clinic Reception including: answering and making calls, managing shared inbox and responding to email enquiries, greeting patients and answering the door
● Liaise with patient insurance companies via email and online portals
Cinic Environment Care
● Ensure clinical and office spaces are welcoming, tidy, safe, and stocked with required resources
● Monitor clinical and office supply levels, re-ordering as required
● Support compliance with building health and safety requirements
Records Maintenance
● Support clinical staff in maintenance of confidential, accurate patient records
● Accurately file and retrieve current and historical medical records
● Monitor and record staff training and professional registration records
● Monitor and record staff annual leave
● Handle sensitive personal data in a GDPR-compliant manner at all times
● Maintain strict confidentiality in relation to patients, staff, and organisational information
Media and Resources
● Support and maintain business media, including website content and basic social media
● Re-order printed business materials as required, ensuring information is accurate and up to date
Finance and bookkeeping
● Take cash and card payments, maintaining accurate records
● Maintain accurate monthly record of appointments booked under health insurance ready for invoicing
● Raise and send invoices to health insurers, reconcile incoming payments, maintain basic financial bookkeeping
● Inform patients of insurance excess payments due, chase payments appropriately when overdue
General
● Work flexibly across a wide range of administrative tasks, recognising that urgent activities can be dictated by the daily needs of the clinic without disregarding the periodic and ongoing tasks involved in the role
● Keep oversight of the practical running of the business, enabling clinicians to concentrate on patient care

Essential
● Experience in a receptionist, administration, or similar role
● Excellent written and verbal communication skills
● Good IT skills
● Strong organisational skills
● Able to work independently while contributing positively to a small team

● Clear understanding of data protection and confidentiality
Desirable
● Experience working in healthcare or similar setting
