Remuneration: Salary 35k - 40k FTE
Hours: 0.4 to 0.7 (negotiable)

Our apprenticeship programs are designed and run by Bellevue experienced Educators. These individuals all have extensive experience working on the ground and in strategic education positions. Founded in 2003, the principal aim of Bellevue Education has always been to educate to the highest possible standards. After three highly successful years of providing apprenticeship training internally to Bellevue’s broader group and a small number of external employers, this has led us to expand our fully funded offering to the external market.
Each of our five apprenticeship courses are uniquely designed with customised content and pathways, preparing our apprentices with the skills, knowledge, and experience necessary to achieve excellence in their careers.
The administrator role is an integral part of the success of our apprenticeship and the role has become available due to our current admin being unable to commit to more hours as we grow. Full training and handover will be provided.

Brief: A responsible and strategic Apprenticeship and Tutoring Admin Officer with strong organisational, people and communication skills. Duties include, but are not limited to:
Customer Service and Marketing
-The first point of contact for clients, ensuring swift response to queries. Reviewing content and functionality of websites, in liaison with the central marketing team.
-Discuss and be involved in implementing marketing ideas and initiatives in conjunction with the central marketing team to showcase our offer to both external and internal potential candidates and employers
-Showcase our apprenticeships on our media channels
-Support in developing our apprenticeship and tutoring arm externally over time (this will not be an immediate requirement and full strategic discussion will involve you)
Induction& Onboarding
-Ensure that clients, apprentices, tutors and tutees receive appropriate joining and induction materials.
-Onboarding of all apprentices and liaison with finance and other admin depts to ensure processes implemented seamlessly
-Schedule induction programmes, liaising with programme and system directors.
Point of contact
Be the point of contact for:
-Queries with regards to the different apprenticeship programmes, tutoring/online learning enquiries, including clients and employees.
-All our 3rd party providers/ contractors: including End Point Assessment Organisations, platform providers, training organisations, learning providers and examiners as appropriate
-Apprentices on anything from system issues to organising end point assessment;; also providing pastoral referrals back to L&Ds/ course leads or Ed Directors as appropriate
-Handling administrative requests and queries from course leaders and tutors
Client Liaison
-Support apprentices with any queries and redirecting them to appropriate people
-Develop our wider offer in relation to apprentices to support the achievement of outstanding provision
-Support with the development of careers advice and guidance for apprentices as appropriate to support the achievement of outstanding provision
-Liaise with course leaders to ensure consistency of communication
General Administration
-Set up cohorts as required under the guidance of EA / Ed Directors
-Oversee enrolment of apprentices and all admin checks as required
-Register apprentices on government portals
-Manage apprentices’ learner dashboards and flagging any learners behind with appropriate channels.
-Maintain contact lists of apprentices, tutors, and course leaders
-Ensure that attendance registers are maintained for all apprentices and any absences are followed up and work completed
-Write and distribute emails and calendar correspondence to apprentices, tutors, and course leaders
-Manage training logs and ensure all are compliant with safeguarding and prevent training as well as internal training requirements
-Support with creating documents, processes and procedures to ensure smooth running of apprenticeship and any external audits/ ofsted visits/ Governance
-Liaise with appropriate providers such as DfE/ Apprentice service on any queries/ funding rules
-Submit the monthly Individual Learner Records (ILR) Return to the government portal on time in collaboration with finance function.
-Set up Training Plans and Apprenticeship Agreements and ensuring signed ready for course start
-Setting up employer Contracts and liaising with employers and ensuring signed ready for course start alongside finance function.
-Maintain records ready for audit and ofsted (under guidance)
-Audit and compliance: both DfE and Ofsted (under guidance)
-Create update and manage key policies
Scheduling
-Create full course schedules for apprentices, liaising with course tutors and L&D tutors to ensure that they are aware of deadlines and that these are being adhered to.
-Diarise schedules for e-workshops/ webinars/ portfolio reviews/ quarterly reviews/ supervision etc for apprentices, tutors and course leads. Being responsive to changes and keeping everyone informed.
-Schedule management meetings and taking of key minutes
-Upload content provided by course leads as required
Analysis
-Provide module/ course surveys in a timely manner to apprentices
-Analyse learners’ feedback and provide summary to course leads at critical points
-Analyse attendance / drop out rates and be a key part of developing strategies for engaging and supporting learners
System Support & Content Management
-Carry out weekly gap analyses of activities on the system
-Support course leads with uploading content as required
-Key point of contact to liaise with EOS learning platform support and getting system queries resolved
-Provide support and training on the system

Annually: Review and update policies and procedures
As Required: info collection/ verification of certificates etc/ system registration/ enrolment/ training plans/ agreements/ contact lists/ review and create new occupancy lists/ uplaod content from course leads and ensure good housekeeping
Termly: Update audit documents / Add to governance items and analysis and attend governance meetings/ review surveys
Monthly: ILR/Minutes of meetings/ schedule checks/ update occupancy lists/ EOS platform is up to date / Payments to L+D
Weekly: communicate with course directors/ leads/apprentices as required; housekeeping checks on dashboard to ensure learners not at risk of falling behind; communicate with platform providers as required
