What do you’ll do
We are seeking a Business Support Assistant to act as the first line of support for Facilities in our London office, working in conjunction with the wider Facilities Team and Legal Support Co-ordinator. The role will involve providing an efficient and effective administrative and reception service, including answering switchboard calls, while delivering excellent client service and presenting a professional image of the Firm at all times.
You will play a key role in building rapport and establishing strong working relationships with both clients and colleagues, often acting as the first point of contact for visitors. You will providing comprehensive facilities support, including the day-to-day management and upkeep of meeting rooms and the communal spaces. Ensuring they are consistently tidy and well-stocked, and organising refreshments and catering as required. You will be responsible for coordinating with the IT Department and Legal Support Co-ordinator, and act as a first point of contact for basic IT queries within the office.
The role encompasses managing incoming and outgoing post, supporting general office maintenance, and assisting with the resolution of facilities issues by liaising with internal teams and external contractors. In addition, you will provide administrative support across the office, including printing, scanning, document formatting, file management, typing dictations and booking travel where necessary.
Who you are
You will be an excellent communicator and have strong interpersonal skills, with the ability to build rapport quickly with colleagues, clients, and external contacts. Comfortable acting as the face of the firm’s front of house, you will communicate in a clear, friendly, and approachable manner, and confidently liaise with teams across the business. As an individual, you will be self-motivated and adaptable, able to work independently as well as collaboratively within a team. You will demonstrate flexibility, responsiveness, and a positive, co-operative approach.
You will handle information with discretion and confidentiality, understanding the wider objectives of the firm, and wanting to take initiative to continually develop your knowledge, including gaining a strong understanding of the firm’s services to assist with enquiries where appropriate.
You will have strong administrative and organisational skills, including excellent IT capability and the ability to use systems effectively. With the ability to prioritise workloads, manage your time efficiently, and deliver accurate, high-quality work to deadlines, while remaining proactive to the needs of both clients and the business.
