The short version
We need a seriously organised, efficient Administrator who keeps things moving, catches the small stuff before it becomes a problem, and takes real pride in getting things right first time.
This is not a "bit of scanning and typing" job. It's a busy, varied role at the heart of how the business runs day to day. If you like a tidy inbox, a chased-up checklist and the satisfaction of knowing everything's been handled, you'll feel right at home.

- Location: No 5, The Works, Waterside South, Lincoln, LN5 7JD (on site)
- Salary: £27,000.00 - £29,000.00

What you'll actually be doing
The thread running through everything is the same: stay organised, keep on top of detail, chase things until they're done, and keep the right people in the loop. Here's what that looks like day to day:
Every day
- Work through the morning hours report (missed clock-ins, lateness, absences and so on), get answers from the relevant managers, and make sure Accounts have what they need before 10am.
- Making welfare calls, dealing with absences and escalating absence issues.
- Keep your own inbox and the HR Admin inbox under control – chase managers for the documents and answers you're waiting on, and make sure they come back on time.
- Keep payroll in the picture on anything that affects pay – absences, leavers, starters, shift changes, deductions.
- Run the daily potential shift-change report in the afternoon to head off problems for the next day.
- Sort holiday requests, leaver paperwork and shift-change forms, and make sure everything's logged in our systems (Timeware) and filed or shredded as it should be.
- Scan and upload the day's paperwork, download production SD cards into the right folders, and keep things flowing.
Every week
- Check the Employee of the Week spreadsheets are in on time (and chase the ones that aren't).
- Keep personnel folders up to date and make sure notice boards and info screens are tidy and current.
- Check H&S paperwork coming back
Every month
- Pull together Employee of the Month nominations, prepare the certificates, sort the recognition payments with payroll, and get photos for our screens and newsletter.
- Get the newsletter printed and out to the canteens and notice boards.
As needed
- General admin – signs, labels, laminating, scanning, that kind of thing.
- Cover reception when needed (post, production photos uploaded to the system).
- Report any IT or system issues and follow them up.
- Running assessment centres for production
- Completing new starter inductions
- Other bits and pieces that'll grow and change as you settle in and make the role your own.
You'll have proper responsibility from the start, and as you learn the ropes you'll be trusted and supported to shape the role and improve how things are done.
What we're looking for
Above all, someone who is very organised and efficient – the kind of person who never lets something slip through the cracks and gets a quiet buzz from a job done properly and on time.
You'll likely tick most of these:
- Brilliant at organising and managing your time – juggling lots of small tasks and deadlines without dropping any of them.
- Strong attention to detail and accuracy – you spot the typo, the missing form, the date that doesn't add up.
- Confident with IT and systems – comfortable with email, spreadsheets and learning new software quickly.
- Good written communication – clear, professional letters, notes and emails.
- A chaser, not a waiter – happy to follow people up politely but firmly until you get what you need.
- Flexible and willing – tasks and hours can vary, and you take that in your stride.
- A positive, can-do attitude – you'd rather find a better way than say "that's not my job".
HR experience is a nice bonus but honestly not essential – the role is built around admin and organisation, and we'll teach you the HR side. We care far more about how organised, reliable and willing to learn you are.
