Referrals Coordinator / Referrals Officer
Oaktree Group

We are looking to strengthen our central referrals function as the group continues to grow. This is a key role supporting the management of incoming referrals, maintaining data integrity, and ensuring timely, high-quality responses to local authorities and commissioning teams.

The role is suited to someone organised, commercially aware and comfortable working at pace in a busy operational environment.

Role overview

You will support the end-to-end referrals process across the group, ensuring all enquiries are logged, tracked, progressed and responded to efficiently. You will also play a key part in improving how referral data is captured and used, supporting better decision-making around occupancy and growth.

Over time, the role will develop with exposure to placement strategy, pricing and stakeholder engagement.

Key responsibilities

Managing incoming referrals across children’s residential, supported accommodation and education provision
Logging and maintaining accurate referral data with a clear audit trail
Coordinating internal discussions to assess suitability of placements
Supporting the preparation and submission of placement proposals
Liaising with local authorities and professionals to gather information and progress enquiries
Tracking outcomes, conversions and reasons for non-placement
Supporting reporting on occupancy, pipeline and conversion trends
Working closely with operational teams to ensure smooth transition from referral to admission

What we’re looking for

Strong organisational skills and attention to detailAbility to manage multiple referrals at different stages simultaneously
Confident communication style, both written and verbal
Commercial awareness — understands occupancy, timelines and responsiveness
Comfortable working in a fast-paced, evolving environment
Experience in children’s services, supported accommodation, or a similar sector is desirable
