As an Export & Logistics Administrator, you’ll play a vital role in ensuring our supply chain runs smoothly and efficiently.
We are seeking a highly organised and detail-oriented Logistics Administrator to manage and coordinate all aspects of import and export operations. The role involves handling import and export activities, overseeing transportation bookings, tracking key performance metrics, and ensuring compliance with regulations. The ideal candidate will have strong communication skills, the ability to multitask in a fast-paced environment, and a proactive approach to problem-solving.
Key accountabilities of the role:
- Prepare, review, and manage export and import documentation (including commercial invoices, packing lists, certificates of origin and bills of lading), ensuring accuracy and compliance with international trade regulations and customs requirements.
- Coordinate day-to-day domestic, import and export logistics activity, ensuring the timely, accurate and cost-effective movement of goods.
- Build and maintain strong relationships with freight forwarders, hauliers and customs brokers, ensuring high service levels and competitive transport solutions.
- Manage transport rates and support freight procurement activities, monitoring freight spend and identifying opportunities for cost savings.
- Monitor logistics performance through KPIs and data analysis, identifying trends, resolving operational issues, and driving continuous improvement.
- Apply knowledge of Incoterms to ensure shipments are structured correctly and customer and supplier obligations are clearly defined.
- Support the evaluation and implementation of logistics solutions for new markets, working closely with Sales and Supply Chain to meet customer requirements.
- Act as a key point of contact for logistics and trade documentation queries from internal stakeholders and subsidiaries.
- Identify and escalate operational risks, providing recommendations to improve processes and mitigate issues.
Experience:
Essential
- At least 1 years’ hands-on experience in International Shipping & Documentation.
- Confident working with logistics or ERP systems, CPQ and Excel.
- Experience preparing or reviewing export/import documentation (e.g. commercial invoices, packing lists, certificates of origin, bills of lading).
- Working knowledge of Incoterms and their practical application in international trade.
- Experience analysing freight rates, costs, or vendor performance data.
- Experience working with freight forwarders, hauliers, or customs brokers
- Working knowledge of Incoterms and their practical application in international trade.
Desirable
- Familiarity with customs compliance or international trade regulations.
- Exposure to professional trade bodies such as the Chamber of Commerce or BIFA.
- Experience shipping to or from multiple international markets.
Qualifications:
- Good standard of education, particularly literacy, numeracy, and geography.
- Future qualifications can be obtained through Haygrove:
- Professional Training in aspects of International Trade, in particular; Compliance, Classification, Valuation, Origin & Preference, Incoterms, Import & Export procedures.
- Chamber of Commerce International Training.
