Are you an experienced administrator looking for a rewarding, impactful role in healthcare and based in the Bradford area? We're looking for a professional, detail-oriented, and motivated Senior Medical Administrator to join our expanding administration team. Reporting to the Admin Team Manager, you will play a key role in supporting and developing team members, ensuring knowledge accuracy, and delivering an efficient, flexible, and client-focused service using cutting-edge technology.

Heales Medical is a commercial provider of Occupational Health services to clients across the United Kingdom. As a small but growing business, we invest in our people and are committed to maintaining operational excellence and continuous improvement across our clinical and administrative services.

About the Role

This is a varied and rewarding supervisory-support role where no two days are the same.

You will act as a subject matter expert across all case and client types, providing day-to-day guidance, training, and ongoing coaching to administration staff. You will work closely with the Admin Team Manager to monitor performance standards, allocate workloads, and drive continuous improvement within the team.

Working as a role model within the team, you will demonstrate exceptional professionalism, high-quality performance, and excellent customer service. You will also play a critical role in information governance, ensuring confidential employee and client data is handled correctly and securely at all times.

Whether managing daily workflows, completing quality checks, or assisting with project work, you will play an important role in delivering a high-quality, professional, and efficient Occupational Health service.

Key Responsibilities

Team Support & Development
Provide day-to-day support to the Administration Team, offering guidance on cases, systems, processes, and client queries.
Deliver training and ongoing coaching to administration staff to ensure knowledge, accuracy, and consistency across all areas of work.
Allocate and distribute workloads effectively across the Administration Team to ensure service levels and turnaround times are met.
Complete regular quality checks of Administration work, providing constructive feedback and identifying training needs where necessary.
Support the Line Manager by feeding back team suggestions, ideas, and concerns, contributing to continuous improvement and enhanced team performance.

Operations & Quality Standards
Maintain a strong working knowledge of all client types, case types, and internal systems in order to provide effective support and cover where required.

Monitor team performance to ensure it aligns with Key Performance Indicators (KPIs), regulatory requirements, and company policies, escalating issues where appropriate.

Assist the Line Manager with project work, audits, and service or process improvement initiatives.

Provide operational support across all administrative work tasks as required to ensure continuity of service.

Data Protection & Compliance
Ensure confidential employee and client data is handled correctly at all times in line with GDPR, data protection, and information governance policies.

Support the Administration Team in reducing the risk of data breaches through guidance, training, and best practice.

Act as a key point of contact for identifying, reporting, and escalating any actual or potential data breaches immediately, and support the resolution process in line with organisational procedures.

To Be Successful in This Role, You Will Demonstrate

3+ years of Administrative Experience.
GCSEs (or equivalent) in Mathematics and English at grade B/6 or above.
Strong ICT proficiency, with the ability to work confidently across multiple systems.
A sound understanding of confidentiality, data protection, and the secure handling of sensitive information.
Strong organisational and communication skills, with the ability to support and guide colleagues effectively.
A professional, discreet, and trustworthy approach, with a strong commitment to confidentiality and compliance.
A detail-oriented mindset, with a focus on accuracy, high-quality output, and the ability to lead by example.
A calm, resilient, and proactive attitude, with the ability to support others in a busy medical environment.

Desirable (But Not Essential):

Educated to A Level standard, similar or beyond.
Proven administration experience within a medical, healthcare, or regulated environment.
Experience supporting or mentoring colleagues within an administrative or healthcare setting.
Experience working to KPIs and quality standards in a regulated environment.
