Job Summary

Medical Secretary - Band 3 - Permanent Post

Full Time post: 37.5 hours per week

An exciting opportunity has arisen for a Medical Secretary within the Neurosciences Clinical Service Unit’s Team of Neurology Secretaries. This is a permanent position and would be an ideal opportunity for someone looking to expand their experience and knowledge. The successful candidate will provide comprehensive secretarial support to the Neurology Team, based in Leeds General Infirmary.

You must be a highly competent audio typist to undertake this varied secretarial role, which will include audio typing of general correspondence, clinic letters, plus dealing with telephone enquiries and emails.

We are looking for a highly motivated, flexible and hardworking person. Candidates will need excellent communication skills, the ability to work as part of a team, to work under minimal supervision and to deadlines. Previous secretarial experience/experience of working in an office environment is essential. A good telephone manner and experience of handling a high volume of queries from stakeholders is essential. The candidate must be able to prioritise their workload and work under pressure.

RSA II in audio typing or equivalent is an essential requirement to undertake this varied and interesting role along with a GCSE or equivalent qualification in English and Maths.

Why you should join our Team

Neurology is part of the Neurosciences CSU based at Leeds General Infirmary. We work very closely with the Stroke Medicine and Neurophysiology departments too, with some cross cover of work.

We are a small, friendly group of 16 secretaries and 6 admin clerks covering 20 consultant neurologists and junior staff.

The department is always extremely busy but we have regular team get togethers to try and make sure everyone feels supported. Our consultants are also very friendly and very supportive of the whole team.

If you are hard working, great at audio typing, can meet deadlines and keep a cool head then this is the role for you!

What you will bring to the role

Audio typing/proof reading clinical correspondence relating to outpatient and inpatient attendances and other patient related correspondence on behalf of the consultant and clinical teams.
Use a range of IT skills to support the clinical work of the consultant e.g. use of databases and spreadsheets to monitor test results for patients.
Support administrative process as deemed appropriate by the PSC.
To support the clinical teams in the delivery of excellent patient care by actively working with colleagues and other Departments to ensure that all patients registered within the service are proactively supported through their patient journey (This would include but is not limited to: ensuring that follow-up and/or discharge appointments have been made for patients when required escalating to the Patient Services Co-ordinator where appointments have been booked outside the requested timescales).
Any other general administrative duties associated with the consultant/clinical team outpatient and inpatient workload.
Answer phone calls and deal with enquiries relating to patients and clinical work from a variety of sources, directly resolving where possible or transferring to appropriate personnel.
Liaise with GPs, hospital staff and others on behalf of consultant in relation to clinical workload.
