About the Role
We are looking for an experienced, organised, and confident Property & Credit Control Administrator to join our team on a part‑time, flexible basis. This is a varied role combining property administration with responsibility for chasing outstanding payments, rent arrears, and service charges.
We are specifically looking for candidates with a background in property OR credit control / debt collection, and we have used the exact industry terms below to reflect the experience we require.
Key Responsibilities
Property Administration & Compliance
* Support the management of our residential and commercial property portfolio.
* Maintain accurate tenancy records, lease details, and property documentation.
* Coordinate inspections, maintenance works, and contractor access.
* Communicate professionally with tenants, landlords, and external agents.
* Ensure full compliance with all relevant property legislation, including the Renters’ Rights Act, and current Health & Safety regulations; keep up to date with legal changes and ensure all processes and documentation remain fully compliant.
Credit Control & Debtors Management
* Manage the full sales ledger and debtor book; monitor all outstanding rent, invoices, and service charges.
* Chase overdue payments via telephone, email, and letter — escalating where necessary.
* Liaise with tenants and customers to resolve queries, agree payment plans, and clear arrears.
* Reconcile incoming payments and allocate funds correctly within the accounting/property system.
* Produce regular aged debtor reports for management.
* Work closely with the finance team to ensure all accounts are up to date and accurate.
Person Specification – Essential Experience
You MUST have experience in ONE of the following areas:
1. Property Sector Experience:
◦ Working for a Landlord, Property Management Company, or Letting Agency;
◦ Roles such as Property Administrator, Lettings Administrator, Property Manager, or Accounts Assistant within a property environment;
◦ Experience handling rent accounts, service charges, or tenant communications;
◦ Good working knowledge of property legislation, the Renters’ Rights Act, and Health & Safety compliance requirements.
OR
2. Credit Control / Debtors Experience (Exact Technical Roles):
◦ Experience working within a Credit Control Department, Accounts Receivable Department, or Debtors Collection Department;
◦ Job titles held: Credit Controller, Debtors Collector, Accounts Receivable Clerk, Debtors Operative, or Collections Officer;
◦ Primary duties involved chasing outstanding invoices, managing overdue accounts, and recovering monies owed to the company.
Skills & Attributes
* Strong communication skills — confident speaking on the telephone and writing clear emails.
* Ability to handle difficult conversations regarding payments firmly, professionally, and politely.
* Highly organised with excellent attention to detail.
* Good IT skills — proficient in Microsoft Excel, Word, Outlook; experience with property management software or accounting systems (e.g. Sage, Xero, Reapit) is desirable.
* Able to work independently, prioritise tasks, and meet deadlines.
* Honest, reliable, and proactive attitude.
* Comfortable working flexible hours and managing your own workload schedule.
* Understanding of compliance requirements, including property law, the Renters’ Rights Act, and Health & Safety standards.
Desirable (Not Essential)
* Experience in both property management AND credit control.
* Knowledge of commercial property lease management.
* Experience using property management databases.
